ACADEMIC RECORDS COORDINATOR

Administrative Support Coordinator I

Academic Records

 

Salary Range: $2,846 - $4, 998/Monthly

 

Work Schedule:Full-Time, Monday – Friday, 8:00 a.m. to 5:00 p.m.; non-exempt classification. Temporary appointment expires on or before one year from date of hire; may be extended; may become permanent.

 

Essential Job Functions: Under the general direction of the Assistant Registrar for Academic Records, the incumbent coordinates the creation of academic records for Cal State Teach (CST) in PeopleSoft Campus Solutions (GET) beginning with quick-admit through notification. The incumbent coordinates with university scheduling office to ensure that all CST sections exist for a given term; verifies that continuing CST students are term-activated for each enrollment cycle; coordinates the processing of all registration requests for new and continuing CST populations; ensures the processing of CST enrollment changes within academic calendar deadlines are completed; coordinates the recording of CST grades at end of term; coordinates resolution of CST enrollment discrepancies with the CST office; oversees the processing of CST grade corrections ensuring they are competed in a timely manner; maintains records of all CST enrollment and grade submissions for reference in future terms; collaborates with Charter College of Education (CCoE) Associate Dean, CST, Student Financial Services, and Financial Aid regarding enrollment status; coordinates the processing of all enrollment merge requests within the undergraduate, graduate, EdD, CST and continuing education careers; creates and maintains the Integrated Teacher Education Program (ITEP) post-baccalaureate transcript notation in coordination with CCoE per the CSU agreement with the Association of California School Administrators (ACSA); coordinates receipt and maintenance of teacher credential coding as required by the Chancellor’s Office statewide Enrollment Reporting System (ERS); leads customer service delivery for teacher credential students; and provides back up to other areas of the Academic Records Office.

 

Requirements

Required Qualifications and Experience: The incumbent must have the equivalent to three years of general office experience. The incumbent must have the ability to perform day to day work independently under general supervision; plan, organize, coordinate, prioritize, and monitor varied and complex assignments and projects through to their completion; provide independent judgment to address and at times develop practical and through solutions to solve problems; patiently and effectively handle interpersonal contact, including those sensitive in nature; independently address a wide range of problems requiring interpretation of policies and procedures; draft and compose correspondence; and demonstrated interest and/or ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who may apply for the position.

 

Special Desired Qualifications: Prior customer service experience and working with academic records as well as knowledge of student record databases.
