DESCRIPTION

Michael Baker International is seeking an experienced and motivated Administrative Assistance II to join our team. The Administrative Assistant will provide full-time, administrative services to a dynamic and cross-discipline team of professionals across the Emergency Management and Response (EMR) office in Alexandria, Virginia. In addition to internal operational assistance, the Administrative Assistant will support client activities, that may include engagement assignments that require logistics and event planning experience.

Responsibilities include:

  • Providing support to leadership and project managers in the group. Proactively anticipate the needs of department leads and managers.
  • Coordinating multiple schedules, projects, deliverables and provide admin support for SharePoint and Microsoft Teams - including data entry, report production, and control and monitoring of corporate systems in support of the organization.
  • Assist as necessary with editing, printing, and assembly of reports, presentations, or marketing materials using provided style guides.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities
  • Attend meetings, as required, and take detailed notes. Prepare meeting minutes for review, approval, and distribution.
  • Coordinate travel arrangements for Michael Baker International staff as needed.
  • Coordinate projects that may involve working with all levels of internal management and staff.
  • Prepare and manage expense reporting for all project managers and above within the office.
  • Organize staff engagement events as needed, including events potentially in the evening and weekends. Interact with stakeholders as needed in support of engagement events. Lead the logistics required to host public-facing events.
  • Support and help create team-building and social events within the organization and EMR office.
  • Responsible for managing the director's calendar and meetings
  • Lead the procurement of materials and supplies in support of the organization.
  • Greets scheduled visitors and escort them to the appropriate conference room or person, as needed.
  • Other duties as assigned.

PROFESSIONAL REQUIREMENTS

  • GED or High School diploma and have 2-4 years of related work experience. Higher education is a plus
  • Intermediate to advanced Microsoft Office skills, including Microsoft Word, Excel, SharePoint and Teams required
  • Experience with InDesign is a plus
  • You'll need to have excellent communication skills for internal associates and external clients; have experience in general office support to include organization, filing, maintenance of document library, etc.
  • Excellent English language skills, written and verbal, are essential to success in this role
  • Document control experience is a plus
  • Ability to obtain a Public Trust Clearance , U.S. Citizenship preferred due to contract requirements
  • Strong attention to detail and demonstrated ownership and accountability for work and ability to meet deadlines
  • Capability to work in a dynamic environment, including a demonstrated willingness to be flexible and adaptable to changing priorities
  • Ability to work collaboratively with a wide array of individuals from various backgrounds, including engineers; planners; GIS professionals; federal, tribal, and state government officials; and the public
  • Strong multi-tasking and organizational skills
  • Strong track record of successfully carrying out administrative duties with a drive for quality and dependability
  • Must be able to build rapport and establish positive relationships with team members, including office leader
