**Job Description:**



Completes a broad variety of administrative tasks for the leadership team, including but not limited to:



+ Manages an active calendar of appointments and meetings

+ Processes all Workday transactions including terminations, transfers, staffing requisitions, etc.

+ Arranges travel itineraries, completes, reviews and approves travel & expense reports for leaders

+ Arranges meetings with teleconference and videoconference capabilities. Plans and coordinates schedules and meeting rooms. Agenda management, meeting prep and meeting minutes

+ Plans off-site events, including All Hands and other team related meetings

+ Composes and prepares correspondence that is sometimes of confidential nature

+ Compiles and distributes reports, spreadsheets, presentations, documents, etc.

+ Develops and manages process to monitor completion of training and tasks

+ Works closely and effectively with leadership to keep informed of upcoming commitments and responsibilities, tracking and following up to successful completion, often with deadline pressures

+ Successfully completes tasks with a hands-on approach, including review and approval of ARM requests, technology requests, office supply orders, global recognition awards, milestone tracking, etc.

+ Prioritizes conflicting needs; handles matters expeditiously and proactively

+ Serves as resource for basic company policies and procedures such as vacation and expense reimbursements

+ Active participant in business support, administrative and team meetings



Enterprise Description: Performs diverse, advanced and confidential administrative support functions including composing, signing and releasing routine but somewhat complex correspondence. Usually relieves management of administrative details; gathers, compiles and reports information relevant to/for department; may manage a number of different and often conflicting objectives, projects or activities at one time. Communicates with executives and line management to gather or convey relevant information. May be involved in high-level client contact and exposure to sensitive information, and must use considerable tact, diplomacy and judgment. Advanced administrative and analytical skills. Thorough knowledge of a variety of software programs.

+ Recent work experience with detailed accomplishment examples and proven ability to take initiative

+ Advanced communication skills, both verbal and written

+ Strong analytical skills, able to maintain a high quality of customer service and attention to detail

+ Work independently, prioritize time and exceptional organizational skills

+ Manage multiple and conflicting objectives, projects or activities at once with minimal direction

+ Strong relationship building skills to communicate with internal team and executive level management to gather/convey relevant information

+ Strong MS office skills (Outlook, Word, Excel, PowerPoint, OneNote, WebEx and SharePoint)

+ Must use considerable tact, diplomacy and judgment with confidential information

+ Must be polished, proactive and thrive in a demanding, fast-paced and constantly changing environment

+ Ability to anticipate next steps and possible issues while working to effectively resolve issues

+ Team player, building and maintaining strong relationships with peers, partners and leaders



Desired Skills



+ Knowledge of or experience working in Financial Center Channel

+ Previous administrative assistant experience

+ Experience navigating a matrixed environment to get information, provide input or to integrate work as needed
