Position Purpose/Summary
The purpose of this position is to provide a wide variety of administrative support to the office.
Essential Duties and Responsibilities
- Provide a wide variety of administrative support to multiple team members.
- Prepare routine and advanced correspondence including letters, contract proposals, meeting agendas, meeting minutes, and reports.
- Monitor all project submittals and filing deadlines and keep project leaders informed of deadlines.
- Prepare project specifications and ensure accuracy.
- Serve as editor and final review of all project documentation before releasing to client.
- Schedule meetings, conference calls and appointments for team members.
- Make travel and lodging arrangements for team members or guests
- Coordinate planning, catering and meeting materials for various internal events.
- Help prepare for new employees to join the organization
- Handle logistics for lunch and learn opportunities
- Order office supplies and maintain well organized and neat office supply area
- Open, sort and distribute incoming mail.
- Serve as the office receptionist
Secondary Duties and Responsibilities
- Serve as back up to mailroom duties
- Assist with administrative needs for other offices as needed.
- Maintain professional and technical knowledge by participating in learning opportunities provided by the firm and seeking opportunities for learning outside of the firm.
- May be required to perform other duties as assigned
Critical Skills and Abilities
- Computer skills required: Microsoft Windows environment, Microsoft Office: Word, PowerPoint, Excel; Google: Mail, Calendar, Drive, Apps; Basic knowledge of the following preferred: Deltek Vision, InDesign, Adobe Professional, AutoCAD/Revit
- Effective communication skills: Able to clearly present information through the spoken or written word; reads and interprets information correctly; listens well
- High accuracy and attention to detail: Able to perform work and job function with precision and accuracy; realizes errors can have significant impact on desired results and is able to avoid errors in almost all circumstances; carefully monitors processes; concentrates on details and organizes and maintains a system of records.
