Primary Purpose

Provides office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects.

Key Activities

  • Proactively perform and oversee the day-to-day administrative responsibilities and miscellaneous issues that arise; maintain a procedures manual for all tasks performed.

  • Assists in special projects, performing research and maintaining records.
  • Assist with programming duties as necessary.
  • Initiates routine and non-routine correspondence and memoranda.
  • Answers and screens the phone, providing information for both routine and complex inquiries.
  • Schedules and maintains calendar of appointments, meetings and travel itineraries, coordinates related arrangements, and arranges for meeting rooms.
  • Anticipates and prepares materials needed by the manager for conferences, correspondence, appointments, meetings, telephone calls, etc.
  • Prepares and distributes minutes to meetings.
  • Maintains and updates station information (Business Cards, Org Charts, Phone Lists, etc.).
  • Establishes and maintains a variety of files and records for station and FCC purposes.
  • Monitors and uploads required documentation to FCC website.
  • Maintains and keeps inventory of office supplies (including printer services and supplies).
  • Assist with routine accounting duties (Expense Reports, Purchase Orders and Requisitions, Vendor Support and Resolution, Accounts Payable Invoices, etc.)
  • May be required to take and transcribe dictation and to take shorthand.
  • Performs other duties as may be assigned.

Skills

Education & Experience/Certifications

  • Minimum1 to 3years experience as an administrative assistant.

  • Resourceful, self-motivated, and independent with the ability to deal with people of all levels within and outside the organization.
  • Highly motivated, appropriately assertive and outgoing while also demonstrating both the ability to be flexible on the job and the ability to anticipate the needs of those supported.
  • Skilled at competently handling many tasks at one time without compromising the quality of any.
  • Strong writing skills: an acceptable writing style, accuracy with grammar, spelling, and punctuation.
  • Able to recognize the need for, and subsequently maintain, confidentiality.
  • Well-organized and able to prioritize; experienced with coordinating travel arrangements, meetings, teleconferences, and other functions.
  • Proficient with Excel, Word, and PowerPoint and the aptitude to learn other desktop software.
  • Ability to take general instruction and compose emails, contact people, or create documents to meet the objective.

    Work Environment

  • Standard office environment.
