Assistant to the Director of the School of Music/Office Manager of School of Music Administrative Offices

Responsibilities include, but are not limited to:

  • Accumulates data for post tenure review, tenure and promotion, progress toward tenure, annual faculty evaluations and faculty searches.
  • Maintenance of confidential records for faculty and staff, and compiles correspondence for the Director of the School of Music.
  • Assists Director with compiling and editing information for School of Music accreditation with the National Association of Schools of Music.
  • Schedules meetings and coordinates Director's calendar.
  • Compiles and coordinates itinerary and travel arrangements for guest artists and search candidates includinglodging, scheduling rooms for presentations, meals and evening receptions when applicable.
  • Researches and gathers information/data to compile reports for the Director which are disseminated to the Dean's office or other administrative areas.
  • Supervises front office staff as well as student workers, including hiring and training of staff and student workers; develops and implements work schedules; approves time sheets and leave requests.
  • Serves as first or second point of contact to the Director in emergency situations and for policy and procedure clarification. Maintenance and upkeep of office policy and safety manuals, emergency procedures manuals.
  • Serves as a liaison to faculty, staff and student organizations as well as serving as the Director's representative at meetings at the University level as well as in-house meetings.

Required Education: Bachelor's degree or equivalent combination of education/job related experience, OR:

  • 48 months office management experience.


  • Ability to maintain confidentiality and adhere to the highest degree of professional standards
  • Able to communicate well and build rapport quickly with students, faculty & staff
  • Detail oriented for accuracy of data and information
  • Proficient in Microsoft Office, Outlook & Excel
  • Effective time management, multi-tasking and organizational skills to meet deadlines as well as the flexibility to adapt to changing priorities
  • Strong initiative to solve problems
  • Able to work well with interdepartmental teams and initiatives
  • General office skills such as answering phone, copying, filing, scanning,faxing, etc.
  • Composition and proofreading skills

    • None

    Advertised Physical Requirements:

    • Standard office environment with extensive computer use. Ability to lift and carry up to 25 pounds.

    Department Preferences:

    • Knowledge or experience with music in higher education

    Supervision:5-7 staff and 4-6 student assistants
