Overview

Supervises and coordinates the maintenance, property coordination and repair of the building, grounds and associated equipment. This work is done in conjunction with the property management company. Oversees the facility administration and directs the day to day operations by overseeing vendors, personnel and equipment.

Responsibilities

  • Works with the property owner to ensure the building is maintained according to the provisions of the lease.
  • Works closely with Manager of Construction to ensure plans, budgets, and scheduled facility modifications, renovations and expansions, including estimates on equipment, labor, material, and other related costs are managed.
  • Oversee the coordination of building space allocation, layout, and operational programs such as preventative and corrective maintenance, safety, and compliance.
  • Assists with effectively allocating space, facility layout and internal movement of employees work space.
  • Dedicated point person for various vendors, providers and municipalities, i.e. police, fire, utilities, architect for internal building projects, office furniture, rugs, painters, food & beverage suppliers, copiers, shredding services, first aid supply boxes, etc.
  • Assists and administers the company car program for approximately 70 company cars; works closely with the fleet leasing company to manage the program.
  • Responsible for ensuring regular maintenance of the company vehicles and confirming that those repairs are maintained and completed to the company's and driver's satisfaction.
  • Partner with the Manager of Lease Administration in the store operations group to administer AFE's (authorization for expenditures) and construction estimates.
  • Works with Accounts Payable to properly code and administer various facility invoices.
  • Assists the construction manager with processing all construction invoices.
  • Maintains the building security to ensure a safe and effective work environment.
  • Implement, coordinate and administer a reverse 911 system.
  • Works with Director of Human Resources and IT to alert the workforce of weather events or other disruptions to delay the office opening or closure of the building by sending emails and updating the weather line.
  • Process all maintenance requests from the District Managers with 3rd party vendors.
  • Perform backup for the mailroom coordinator as required and the receptionist as needed.

  • Ability to stand, walk, bend and/or stoop, crawl and/or climb, kneel, push, pull, operate machinery, and lift up to 75 lbs.

    Qualifications

    Requirements :

  • High School Diploma
  • 3+ years' experience managing facilities maintenance
  • Knowledge of building systems, structure, interiors, exteriors
  • Project management skills to effectively plan, scope, schedule and evaluate a wide range of projects
  • Proficiency with Microsoft Office Products
  • Valid driver's license
  • Occasionally required to work flexible hours & weekends to minimize disruption to business operations & office staff; a company cell phone is provided

    Preferred Skills :

  • Associates degree; course work with International Facilities Management Association (IFMA)
  • Facilities Management Professional (FMP)
  • Certified Facility Manager (CFM)
