Facilities Assistant /Receptionist Coverage

Job description:

The firm is searching for and Facilities Assistant/Receptionist to support the Facilities department. The main responsibilities would include managing calendars, scheduling, prioritizing meetings, processing invoices, managing vendor relationship and having an extremely proactive mindset in order to stay steps ahead of business needs. We are looking for a team player with a great attitude.

Candidates should be effective and detail-oriented communicators.

The ideal candidate will have a property management and bookkeeping background.

Facilities Assistant Responsibilities:

  • Provide general support, which includes but not limited to creating, maintaining and editing documents, spreadsheets, files, and presentations

  • Heavy calendar management utilizing Microsoft Outlook; must be flexible with last minute schedule changes and urgent meeting requests

  • Maintain a professional rapport with staff, coworkers, and clients.

  • Maintain vendor relationships and trouble shoot billing problems; handle routine items.

  • Works on special assignments that may be complex in nature where judgment and initiative are required in resolving problems and making recommendations

  • Prepare and maintain presentations and reporting materials

  • Process and code a large number of invoices daily.

  • Facilitate visits from vendors, customers and key executives

  • Demonstrate the ability to handle multiple tasks with little or no supervision

  • Assist with daily Facilities issues when required.

    Reception Responsibilities:

  • Provide back up support to the reception desk during daily lunch breaks, miscellaneous breaks, fingerprint sessions and whenever required.

  • Be available to cover the reception desk when the primary coverage person is absent (may require extended hours as early as 7am and into the evening.

  • Answering phones in a prompt and professional manner, transfer incoming calls to appropriate parties or voicemail.

  • Daily interaction with high level clients & executives, handle special requests as needed.

  • Meet and greet clients and guests.

  • Always maintain reception area appearance tidy & organized.

  • Manage conference room scheduling and arrange conference calls when needed.

  • Serve as liaison for building management to support other Facilities issues.

    Desired Skills and Experience:

  • 1-3 years' experience working as a Facilities Assistant.

  • Ability to interface well with all levels of employees in a highly professional and friendly manner

  • Associates Degree preferred, however experience a plus

  • Must have experience in a highly corporate environment in terms of dress and demeanor

  • Possess a high degree of proficiency with MS Office products including Word, Excel and Outlook

  • Must be able to maintain the highest level of confidentiality

  • Ability to meet designated deadlines and work effectively in a pressurized environment

  • One to three years corporate experience as a receptionist in a financial firm
