Cantor Fitzgerald: Trading Floor Administrative Assistant

The firm is searching for an Administrative Assistant on the Equities Trading Desk. The main responsibilities of the role include managing complex calendars, expense reporting, scheduling, prioritizing meetings, and a proactive mindset. Candidate must be an effective and detailed oriented communicator. This is a wonderful role for someone who is looking to join a high-energy, faced paced, team-oriented group with great opportunity!

The ideal candidate will have a business/finance background or interest


  • Coordinate meetings, including ordering meals, arranging travel, meeting room preparation, invitations, event planning, etc.
  • Heavy expense report preparation and processing
  • Heavy calendar management utilizing Microsoft Outlook; must be flexible with last minute schedule changes and urgent meeting requests.
  • Handle telephone calls for the executive from both internal and external sources. Screen phone calls/solicitors answering, screening and returning calls thoroughly and with diplomacy per supervisor's instructions
  • Provide general administrative support, which includes but is not limited to creating, maintaining, and editing documents, spreadsheets, files, and presentations.
  • Manage seats for visitors from other offices, order office supplies, liaise with facilities and IT
  • Contribute to (or lead) special projects from start to finish
  • Work with Executive Assistants across the firm and provide backup support, as necessary
  • Prepare detailed itineraries when the Executives travel
  • Demonstrate the ability to handle multiple tasks with little or no supervision.

  • A minimum of 1 to 5 years working as an assistant
  • Ability to interface well with all levels of employees in a highly professional and friendly manner
  • Must be a team player
  • Must have experience in a highly corporate environment in terms of dress and demeanor
  • Possess a high degree of proficiency with MS Office products including Word, Excel and Outlook.
  • Must be able to maintain the highest level of confidentiality
  • Demonstrated ability to handle multiple tasks simultaneously. Exceptional organizational skills required
  • Ability to meet designated deadlines and work effectively in a pressurized environment
