As the Contracts Coordinator, you will, under general supervision, provide Contract administrative functions as assigned to support the Contracts Team. You will maintain confidentiality of information received.

ESSENTIAL JOB FUNCTIONS:

  • Provides a myriad of administrative support services to facilitate the work of the Contracts Team to include managing the Contracts portals (CostPoint Contracts Module / Live Link).
  • Files contractual documents in an electronic repository Manage Contract Files and assists in Audit and Close Out data calls.
  • Assists in onboarding new employees and associates to include arranging office space, phones, and computer accounts prior to arrival.
  • Manages Contracts portal and ensures database is loaded with accurate information.
  • Ensures redaction of contract documents and responds to Freedom of Information Act inquiries.
  • Assists with the gathering of documents to respond to requests for Equitable Adjustments, claims, subpoenas, and litigation as required.
  • Provides exceptional customer service and addresses customer and inter department inquiries in a professional manner.
  • Compares contract documents and communicates changes to co-workers.
  • Facilitates creation of contract agreements, forwards executed agreements to proper parties, and ensures accurate logging, tracking and filing of agreement.
  • Receives and validates completed agreements and monitors status for completion.
  • Interfaces between DCMA and internal personnel contract CLIN deliverables status, as required.
  • Receives, scans, and files in Livelink the Certificate of Liability Insurance for the Legal Department.
  • Creates, updates, and maintains business entity information in System for Award Management (SAM) and Duns and Bradstreet.
  • Creates and tracks correspondence and formal contractual letters.
  • Maintains the Contracts Department calendar to ensure all training is scheduled monthly and training material is stored in Livelink.
  • Assists with data calls and reports.
  • Prepares, transcribes, transfers, systemizes, and preserves both written and computerized communications and records to include weekly Contracts report consolidation and submittal for workload tracking.
  • Performs a variety of office duties such as: operating office machines, storing, distributing, accounting for stores of material; distributing mail and delivering messages; filing, taking phone calls, scheduling meetings, making travel arrangements and completing expense reports; records and tracks minutes and action items for meetings as assigned; etc.
  • May be required to work independently on projects requiring research and preparation of briefing charts and other presentation materials.
  • Manages and maintains Office Depot, Grainger, and Staples Business Advantage on-line master accounts.
  • Assists with Teaming Agreement tracking, numbering, and storing.
  • Upon receipt of NDA requests, logs the request and distributes the NDA request accordingly to either the appropriate Procurement or Contracts POC for processing and subsequent retention.
  • Performs other clerical duties but not limited to, scheduling meetings and teleconferences, providing information to callers, taking dictation, composing routine correspondence, reading/routing incoming email, editing business processes and work instructions, and ordering office supplies.
  • Performs other duties as assigned.

EDUCATION & EXPERIENCE:
  • Must have a High School Diploma or equivalent with 4+ years directly related experience OR an equivalent combination of education and experience.
  • Deltek GovWin experience preferred.
  • Wolters Kluwer FAR/DFAR reporting experience preferred.
  • Concur Travel and Expense application experience or similar experience preferred.

KNOWLEDGE & SKILLS:
  • General knowledge of Government contract and procurement terminology.
  • Strong knowledge of Microsoft Office, particularly Excel.
  • Strong knowledge of office machines, including copier, fax, and printer.
  • Electronic repository skills such as Live Link and SharePoint.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Ability to work independently, as well as, in a team environment.
  • Excellent communication and interpersonal skills.
  • Ability to proofread documents and correct spelling, grammatical, and typographical errors.
  • Ability to accurately and discreetly respond to inquiries and relay information in a factual manner.
  • Ability to perform advanced level document production, including the complex formatting of contract documents and spreadsheets.
  • Ability to communicate effectively, both orally and in writing, with people from a variety of backgrounds displaying tact, patience, and judgment.
  • Ability to maintain focus and flexibility in fast-paced environment.
  • Ability to use interpersonal skills necessary in order to communicate and follow instructions effectively with a diverse group of customers, employees, and teammates.
  • Demonstrates openness to new procedures, technology, and structure.

SECURITY CLEARANCE: Ability to obtain/maintain SECRET clearance.
