This position will perform general administrative duties for the department it is assigned to.The individual will perform routine clerical functions and may support more than one department simultaneously.

Essential Duties and Responsibilities

  • Performs a variety of clerical work involving standardized forms, reports, data, and procedures using established instruction/routines

  • Prepares simple forms or reports; sorts and files documentation

  • Maintains historical records by filing documents

  • Read and routes incoming mail, prepares outgoing mail and correspondence or other printed materials

  • Maintains postage meter and stamps outgoing mail

  • Composes and types routine correspondence

  • Organizes and maintains file systems, and files correspondence and other records

  • Answers and screens managers' phone calls, arranges conferences calls and meetings, maintains conference room schedule

  • Greets visitors and directs to appropriate area or person

  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, records and transcribes meeting minutes

  • Orders and maintains supplies, and arranges for equipment maintenance

  • Provides support for assigned department(s)

  • Develop and grow internal and external customer relationships for the purpose of improving company's growth

  • Conducts research, and compiles and types statistical reports

  • Some A/P & A/R filing and file maintenance

  • Update and maintain company phone list

  • Reconcile petty cash -- monthly

  • Maintain supply of promotional printed material, such as brochures, price books, color charts, binders, etc.

  • Answer phone calls and support the receptionist as needed.

Dispatch Responsibilities

  • Prepare invoices, delivery tickets, and related shipping documents

  • Plan effective delivery routes and assign drivers for scheduled deliveries

  • Work closely with customer service to understand the product availability and logistic issues of specific projects

  • Take orders from customers and get their order out on time

  • Inspect all shipping department equipment to ensure that they are in working order

  • Check and review all orders assigned before they are shipped against delivery ticketsCoordinate deliveries with company truck drivers and external trucking companies to ensure timely delivery of materials to customers

  • Work closely with independent truck drivers to ensure pick-up and delivery times, load weight compliance and secure loads

  • Prepare and review loading/unloading, daily shipping reports and delivery logs

  • Perform other related duties as assigned

  • Submit daily invoicing to A/P once deliveries are dispatched

  • Other duties and responsibilities related to the nature of the job may be assigned on a temporary or permanent basis as needed

Requirements / Education / Experience

  • At least a High school diploma, Associates degree preferred, or equivalent

  • Minimum of 1 year of office experience or equivalent combination of education and experience

  • Knowledge of basic office equipment (phone, fax, copier, 10-key)

  • Strong Microsoft Office skills

  • Excellent verbal and written communication skills

  • Ability to communicate with employees, peers, supervisors, vendors, and customer is an effective manner

  • Must be detail oriented, organized, and have problem-solving and reasoning skills

  • Ability to perform basic math calculations such as add, subtract, multiply, divide and compute rate and ratio

  • Ability to apply common sense understanding to carry out written and oral instructions

  • Ability to solve practical problems and deal with a variety of concrete variables with little or no structure

  • Internal and external customer service oriented

  • Ability to work independently

Physical Environment

  • Ability to perform sedentary work, occasional walking, standing, squatting, and bending required

  • Ability to lift up to 10 lbs. and carry small objects, and occasionally lift up to 25 lbs

  • Prolonged sitting, repetitive use of fingers and hands for typing

  • Available to work overtime as necessary

  • May be required to work under stressful conditions
