Job Summary:
Provide administrative support to the Engineering Manager and the Maintenance and Engineering departments. Coordinates training and meetings related to Engineering and Maintenance activities. Enters purchase requisitions for Engineering projects and Maintenance non stock items. Manages uniforms for the Maintenance department. Maintain and update Maintenance and Engineering cellphones. Manages radios database for ALL Sacramento operations.

Job Description:

DUTIES AND RESPONSIBILITIES

  • Assists with the asset verification audit and the transfer/disposal of assets in the Plant with Fixed Asset Transfer/Disposal Authorization process thru DocuSign.
  • Coordinate meetings and update assets lists. Add photos to database.
  • Enters purchase requisitions for non-stock maintenance parts and project materials. Performs data entry in SAP. Reconciles invoices and clarifies any issues related to invoicing.
  • Coordinate various maintenance and engineering meetings like
    • Monthly Safety Meeting.
    • Overdue training sessions for all three shifts.
    • Quarterly State of Site meetings " all three shifts.
  • Assist Engineering Manager, Maintenance Manager, Project Engineers and Maintenance Leads and performs other duties and responsibilities as required or assigned by supervisor.
  • Provide administrative support to the Engineering Manager and Project Engineers, processing of purchasing requisitions for Capital Expenditures
  • Process all paperwork request for new hires along with providing access to hardware and software and PPE if required.
  • Process P-Card transactions thru Concur for completion of monthly expense reports when required
  • Maintain service and supplies for department machines, copier, printers, etc.
  • Work with Purchasing and Accounts Payables on invoices issues for contractors as needed
  • Ordering of special items as needed thru company Amazon Business account
  • Maintain and store Maintenance, Sanitation, Production Log documents
  • Work with Procurement and Uniform vendor on any issues with uniform replacement, deletion, adjustments, and/or orders
  • Maintain and manage cell phones for Engineering and Maintenance departments
  • Maintain and manage All Sacramento radios database
  • Other duties as assigned

POSITION QUALIFICATIONS

Education Level and Focus:

  • High school diploma or equivalent required.

Years and Type of Related Experience Required:
  • 6 months previous office clerical/administration work experience. Prior experience operating a computer in an office environment. Previous data entry experience. Knowledge of maintenance parts and/or maintenance experience preferred. Exposure to manufacturing environment desired.

Skills and Abilities:

Interpersonal and Communication:

  • Good communication skills and ability to interact effectively with both internal customers and external vendors/suppliers.

Technical and Analytical:
  • Good computer skills including Outlook, Word, and basic Excel. SAP experience preferred. Basic math, data entry, and strong organizational skills.

Administration and Operations:
  • Work may consists of repetitive tasks and involve few choices. Must understand Good Manufacturing Procedures (GMPs) and safety practices.

Physical Demands:
  • The position may require the ability to meet the physical demands of sedentary " light physical requirements to carry out the assigned duties.
  • May be required to attend outside training seminars.
  • Must be able to work overtime, weekends, and holidays as required.
  • Work Environment:
  • Position may require employee to work around hazardous materials. Position may require the exposure to various adverse conditions such as, heat, cold, noise, dust, fumes, dirt, and grease, and chemical substance.
