As an Executive Assistant, primary responsibilities include:

  • Administrative support including filing, copying, and typing correspondence, proofreading, presentations, data entry, etc.
  • Calendar Management for Executive meetings on a daily basis.
  • Handle routine correspondence, answering phone calls and communicating messages in a timely manner.
  • Scheduling and organizing travel itineraries and arrangements including airline, hotel, ground transportation and expenses for participants traveling to meetings or other business travel.
  • Assist and contribute in the coordination of meetings and events (pre-planning and local onsite execution) with guidance of Manager, working with vendors as needed.
  • Coordinate Rosemont training room requests with WTFC.
  • Handle catering orders
  • Contribute to overall team success by identifying problems and proactively seeking out methods to improve self-performance and/or efficiency of an operation or task
  • Preparation of project plans, agendas and reports
  • Act as a liaison between the Executive Office and other departments, colleagues, and clients
  • All other tasks as assigned and requested

As part of Business Support, primary responsibilities include:

  • Reporting duties include: Cycle time trending, Pipeline reviews/reports, Staffing forecast, All Hands dashboard, Daily dashboard
  • Prepare, update, compile, and distribute Strategic Planning documentation and presentation for Operations.
  • Prepare Operations update documents and presentations on an ad-hoc basis
  • Draft announcements/communications/job descriptions
  • Coordination of audit/compliance responses
  • TCS billing, other invoices to be processed
  • Forecasting
  • All other tasks as assigned and requested

  • Bachelor's degree or equivalent work experience
  • Prior assistance working with C-level Executives or experience in organizing events
  • Handle confidential and non-routine information applying extreme confidentiality and sensitivity in the dissemination of this information.
  • Ability to work on several projects simultaneously with ability to effectively prioritize and execute tasks conforming to shifting priorities, demands, and timelines
  • Excellent interpersonal, written and verbal communication skills.
  • Strong customer service skills
  • Strong organizational skills with attention to detail required.
  • Ability to stay calm under pressure and possess high emotional intelligence.
  • Ability to work both independently and in a team-oriented, collaborative environment
  • Proven competency in software applications, including MS Word, Excel, Outlook, PowerPoint, and other technology.
  • Willingness to travel outside of geographic area, and work on-site as needed for training, meetings, and on-event staffing roles if needed.
  • Ability to learn and understand various application systems as required.
  • Relationship oriented.
