Job Description

Provide a full range of highly responsible and confidential secretarial, and highly skilled administrative support to members of the GBS Executive Staff.

ESSENTIAL FUNCTIONS:

  • Function independently with occasional guidance to provide a full range of highly responsible and highly skilled secretarial/administrative services, which comply with legal and organizational guidelines to assist Global Business Services Executives and handling their administrative duties.
  • Maintain appointment calendars, make travel arrangements, arrange meetings, place and receive telephone calls, operate computer and other office machines, maintain department files and complete expense reports in organizing and handling their administrative duties.
  • Maintain follow-up systems and procedures applicable to ensure deadlines for accomplishing required assignments are met by GBS Executives.
  • Responsible for maintaining personnel files, monitors review dates for evaluations, schedules and assists in gathering additional information for their preparation.
  • Assist in recruitment activities as needed by scheduling interviews and onboarding schedules for positions filled.
  • Undertake various administrative projects as may be assigned to assist the GBS team in fulfilling responsibilities.

  • Ability to operate and use telephones, computers/laptops and other technological devices/software programs to communicate with other people.
  • Ability to proficiently use and perform key functions of Microsoft Word, PowerPoint and Excel software programs.
  • Ability to travel via aircrafts, and operate and drive motor vehicles for business travel, with valid driver license.

DEPARTMENT SPECIFIC/NON-ESSENTIAL FUNCTIONS, INCLUDE BUT NOT LIMITED TO:

Exhibit professionalism and responsive attitude which demonstrates our commitment to quality. Provide prompt and accurate handling of secretarial/administrative support to assist internal/external customer in achieving their individual objectives, strategies, and tactics. Coordinate work assignments/projects among team members and assist and train relevant new employees. Recognize opportunities to improve work performance and operational practices and procedures to improve responsiveness and effectiveness of administrative team members. Deal tactfully and maintain effective working relationships with all internal and external customers to ensure achievement of business objectives and goals. Create respectful environment among team members and motivate improvement of individuals and team performances to achieve desired business results. Maintain effectiveness of varying environments with different tasks, responsibilities and people. Set priorities and strategically identify issues, underlying problems and potential solutions to develop plan of action. Render judgments and make timely decisions in alignment with business objectives. Promptly reconcile and communicate changes in plans and programs, conditions, requirements of marketplace, competitive activities, issues and accomplishments that may affect sales results to various levels of staff. Conduct team adjustments to new changes and adjust to meet requirements of changing conditions/situations.

MINIMUM REQUIREMENTS:

Education required: Minimum of high school education/diploma with advanced level training/experience.

Experience: At least 4-6 years of experience in office experience, with high level of organizational and administrative skills. Several years experience supporting management is typically required, or an equivalent combination of training and experience. Have in-depth knowledge of policies and procedures associated with general laws, as well as with Corporation. Excellent oral and written communication skills.

PREFERRED EXPERIENCE/QUALIFICATIONS:

  • Extensive knowledge of K-C, and its business policies and procedures. Proficient in data access tools and PC based applications (Windows, Word, Excel and PowerPoint).
  • Skills/Competencies: Results and strategy orientation, strong oral and written communication, prioritization and time management, change management, analytical, project and risk management and building relationships
  • Other: Leadership, resources and team management, active listening, adaptability and interpersonal

ORGANIZATIONAL RELATIONSHIPS:

  • Reports to a member of the GBS Executive Staff, supporting multiple GBS Senior Leaders. Key internal customers include GBS Leadership Team and other executive leaders within K-C.

SCOPE OF POSITION:

Key internal customers include the GBS leadership team and other executive K-C leaders. Receives functional work direction from four GBS Executive leaders. Work independently with guidance on matters of an exceptional or unusual nature.

WORKING CONDITIONS:

Minimal travel required.Travel may also include business travels via aircrafts and motor vehicles to various locations. May include prolong periods of sitting, typing, viewing computer/laptop screens, along with occasional bending, reaching, lifting, carrying, climbing, twisting, stooping and standing.

Global VISA and Relocation Specifications:

This role is available for local candidates already authorized to work in the roles country only. K-C will not provide relocation support for this role.
