The main responsibilities of this role will include managing our HRIS system (SAP) and reporting, the development and reinforcement of our Affirmative Action Plan, overseing our Immigration Program and overall compliance of the HR function. You will collaborate with HR Subject Matter Experts and process owners to ensure HR is compliant with changes to employment related laws, respond to known/potential non-compliance events and mitigate future compliance risk.

You must be results oriented and comfortable making quick business decisions to shift priorities and function effectively in a dynamic fast paced work culture. Some of the things you'll be doing include:

HRIS, Compliance, Reporting and Analysis

  • As a "superuser", maintain human resource information systems (HRIS) responsible for the accuracy, collection, retrieval, accessibility, usage and security of employee information.
  • Maintain internal database files and tables and develops custom reports to meet the requirements of the business.
  • Provide HRIS support and analysis for US/CAN as well as create and maintain an HR Dashboard
  • Document and manage various HRIS people-centric transactions such as new-hire, change-of-status, terminations, etc.
  • Audit, validate, and update data within HR systems to achieve data integrity and ensure that system controls and processes meet all internal and external compliance requirements
  • Train new and existing HR Users on new processes and functionality of the HRIS system
  • In coordination with a 3rd party vendor, prepare EEO, AAP and Vets 4212 requirements and maintain compliance with government agencies.
  • Identify compliance related training and implementation plan.
  • Conduct meetings and work closely with HR and management to improve business processes and reporting and analytics available to the organization
  • Document SOP's for all processes that this function handles
  • Maintain the employee handbook

  • Serve as central point of contact for all immigration matters and handle day-to-day immigration related matters.
  • Partner with managers, employees, HR team and outside legal counsel to define best course of action and resolve problems.
  • Coordinate initiation, posting and signing of all immigration related applications.
  • Track and monitor all cases to ensure all deadlines are met with regards to renewals and filing dates.
  • In partnership with the Immigration Law Firm, provide monthly status reportsto HR team and managers (on need to know basis) including related and future costs.
  • Work directly with visa candidates to assist in resolving employee inquiries as well as communicate and align employee expectations to the current immigration environment.
  • Process invoices related to immigration-related cases and send checks to Immigration Law Firm

The Selected Candidate Will Posess The Following:
  • Bachelor's degree in Human Resources, Business Administration or related field. A minimum of 3-5 years' experience working in HR Compliance OR an analytical background with an interest in a career in HR
  • Advanced Microsoft Excel skills
  • Experience working with EEO and AAP compliance
  • Experience implementing and/or migrating systems is a plus
  • Exceptional organizational and interpersonal skills
  • Demonstrates decisive leadership ability and can display leadership qualities in a team environment
  • Excellent judgement and use of discretion with confidential information.
  • Strong understanding and experience with HRIS design, structure and processes; SAP a plus
  • Ability to manage both day to day operations and project work
  • Demonstrated ability to work independently, review and analyze data, identify and resolve problems, and use online systems/applications to support the work being performed
  • Ability to work under tight deadlines and handle multiple/detail-oriented tasks.
