Job Purpose:


The Office Assistant will ease the work load of our current office manager and help in all facets of the company as we continue to expand. The Office Assistant will help with the organization and running of the daily administrative operations of the company. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. The Office Assistant must be responsible, efficient, a team player, motivated and willing to do what is needed to keep the office running efficiently


Essential Duties & Responsibilities:


  • Manage day-to-day operational support of the MHA Florham Park office to ensure effective communication, provision of services, and efficient usage of common area space.

  • Organize office and assist associates in ways that optimize procedures

  • Sort and distribute communications in a timely manner

  • Schedule and plan meetings and appointments

  • Monitor level of supplies and handle shortages

  • Resolve office-related malfunctions and respond to requests or issues

  • Coordinate with other departments to ensure compliance with established policies

  • Maintain trusting relationships with suppliers, customers and colleagues

  • Perform receptionist duties when needed

  • Manage vendor relationships including building management, external service providers, and key contractors.

  • Provide ad-hoc administrative support on a add need basis for multiple business units.


Minimum Qualifications & Competencies:


  • Associates degree preferred or office/facility management experience.

  • Proven experience as an office assistant, or in another relevant administrative role

  • Working knowledge of office equipment

  • Thorough understanding of office management procedures

  • Excellent organizational and time management skills

  • Service oriented with an aptitude in problem-solving

  • Excellent written and verbal communication skills

  • Proficiency in MS Office

  • Well-developed interpersonal and communications skills.

  • Capability to manage multiple, competing priorities successfully.
