Job Summary:
Manages the day to day operations of the Outpatient Center including Patient Access and facility to support all clinical services. Ensures survey readiness of the facility, customer service, and optimal financial performance. Serves as resource in support of hospital strategic growth initiatives, program enhancements, service expansions, and improvements. Collaborates with others to affect changes in the system, processes, culture, and policies to advance the centers goals in support of the hospitals mission. Responsible for ensuring budget adherence.

Minimum Job Requirements:
  • Bachelors degree in Business Administration, Healthcare Management, or related field.

  • Minimum one year of progressively responsible in a Hospital Patient Access, large physician group, or front office management experience.

  • Proficiency with Microsoft Office Products (Outlook, Word & Excel).

  • Strong computer applications experience required.

  • Manages Registration, Security, and support staff for areas of responsibility. Manages the facility & environment of care according to hospital, state, federal, and accrediting bodies. Oversees hospital support and contracted services to ensure a safe and comfortable environment for patients, families, and staff.

  • Responsible for compliance of all facility standards and required hospital, state, federal, and accrediting licenses and certifications mandated by Accreditation, Risk Management, Safety, Infection Control, and external agencies.

  • Responsible for the development and managing of the facility/PAS budget. Collaborates in creating, forecasting, developing, and managing capital/operational budgets for departments.

  • Manages for the revenue cycle processes from development to reconciliation phase.

  • Ensure annual inspections are conducted & deficiencies corrected. Manages the renewals of local and state required permits, certificates, and licenses.

  • Responsible for ensuring EOC, constant readiness for safety and emergency conducting quarterly and annual drills as policy and readiness. Partners with stakeholders and leads activation for all facility construction and other identified projects in the facility.

  • Responsible for collaborating with security to ensure access points are secure and accessible. Responsible for burglar and fire alarm emergency calls (24/7).

  • Responsible for all facilities maintenance and repair to ensure good working orders and collaborates with hospital services/vendors.

  • Manages employee attendance, productivity, and other performance markers. Provide on-going training for new & existing staff on tasks, procedures, and systems. Provides feedback on job performance and makes recommendations.

  • Manages staff from hiring to employment separation while supervising staff and completing performance reviews.

  • Manages all Patient Access functions and point of service revenue cycle for all service lines. Oversees cash collection reconciliation and deposit. Manage patient billing discrepancies and account denials in collaboration with PFS.

  • Develop business processes & workflows for new/existing services including cost center, CDM creation, testing, and validation.

  • Responsible for addressing customer complaints with Patient Guest Relations in a timely manner.

  • Enhances centers visibility through involvement by serving as a community outreach ambassador. Collaborates with Marketing in planning, coordinating, and implementing special events. Reviews and validates promotional materials.

  • Works with the Legal to ensure vendor contracts, maintenance agreements, and building leases are reviewed and executed.
  • Bilingual (Spanish, Creole) preferred.

  • Knowledge of financial systems to analyze fiscal processes for the facility and patient access areas.

  • Ability to communicate effectively verbally and in writing.

  • Able to maintain confidentiality of sensitive information.

  • Ability to interpret, adapt, and react calmly under stressful conditions.

  • Able to relate cooperatively and constructively with customers, peers, and leadership.

  • Able to effectively supervise, coach, mentor, and develop staff and new emerging leaders across the network.

  • Understanding of management and healthcare operations.
