Arcadis is seeking a Project Administrator to join our Environment Business Line in the Midwest. The Candidate may be located in one of the following office locations: Milwaukee, WI or Hoffman Estates, IL.

The Project Administrator will assist Project Managers (PMs) and their teams by performing a variety of advanced project management support activities including providing direction to project members on internal project management initiatives and processes, monitoring and reporting on project financials, and managing updates to project plans.

Position responsibilities include, but are not limited to:

  • Supporting PMs to ensure control and communication of project budget, scope, schedule, progress, and risks.
  • Facilitate monthly client invoicing: serve as a liaison between Project Manager and Invoice Specialist to review, revise, and finalize Client invoices for timely submittal.
  • Reviewing the health of each project on a monthly basis and ensuring the Monthly Project Review meetings are held.
  • Reviewing project repository and ensuring documentation is up-to-date.
  • Providing project manager tools and business process on-boarding.
  • Participating in project activities and reviewing essential project documentation to ensure an effective project management process (including, but not limited to: risk management, schedule and cost management, change management and issue resolution) is consistent with approved project plans.
  • Ensuring operational excellence and Arcadis Way alignment in our delivery processes and project execution.
  • Tracking, analyzing and communicating project risks and opportunities.
  • Assisting project managers with resource forecasting, resource leveling and resource workload
  • Maintaining project management processes and templates.
  • Assist PMs with subcontracting of contractors for project activities: pull together contracts from Arcadis templates, facilitate revisions to subcontracts, review certificates of insurance and correspond directly with Subcontractors if needed.
  • Collecting and analyzing lessons learned and feedback, updating processes and templates as needed.

The selected candidate will have:

  • Education or work experience in accounting or other financial-related field.
  • Experience using Oracle and Microsoft Office tools including Excel, Power-Point and Power BI.
  • Familiarity with project management principles and techniques.
  • Strong analytical and critical thinking skills.
  • Detail Oriented
  • Ability to work independently and manage work to a defined schedule.
  • Excellent written and verbal communication skills.
  • Ability to foster relationships across all levels within the organization to implement company-wide processes.

Required Qualifications:

  • Bachelor's degree
  • 4 years of relevant work experience

Preferred Qualifications:

  • Knowledge of the consulting business
  • Willingness to travel to regional offices for support as needed
