Provide administrative and project coordinator support for Commercial Sales VP and department leadership. Perform analytical, project management and administrative support for sales projects. Serve as a conduit for communication between department leadership, other departments and staff at all levels. Provide guidance/expertise on projects and project coordination. Responsible for gathering, compiling & extracting information from various sources and developing reports to help the sales leadership & team identify and target business opportunities for new client acquisition and/or revenue growth. Responsible for gathering, compiling & extracting information from various sources and developing reports and/or dashboards for tracking sales associates activities. Develop, automate, submit various reports as requested.

Responsibilities:

  • Identify, compile, coordinate, track and prepare sales associates activities into consistent reporting process as well as provide adhoc reports when requested.
  • Identify, compile, coordinate, track and prepare sales lead sources for targeted business opportunities and sales/revenue generation.
  • Prepare and disseminate internal management oversight reports accurately and within required time frames.
  • Work independently to analyze data in order to identify trends and business opportunities.
  • Provide support to the VP, Commercial Sales & Sales Directors on all administrative matters, including maintaining executive calendars, answering phone calls, recording meeting minutes and following up on important internal and external meetings; perform ad-hoc reporting and other tasks as needed.
  • Perform administrative duties including, but not limited to: maintaining organized files, and e-files; relaying/running documents, scheduling meetings, ordering food for meetings, scheduling conferences, new employee onboarding, travel accommodations; obtaining needed signatures on various documents.
  • Establish the coordination of basic and moderately complex project activities and ensures the quality, timeliness, and integrity of ongoing sales projects.
  • Carry out necessary research and compilation of data, documents and analysis for sales leadership.
  • Adhere to project timelines, prioritize among competing needs, and coordinate multiple projects simultaneously.

Qualifications:

  • Bachelors Degree, preferably in Business or related field or Associates Degree with 4 years of related experience.
  • 2 - 3 years' of experience in a professional setting, including positions handling data required
  • Additional years of experience or specialized training can be used in lieu of educational requirements preferred
  • Proficiency with MS Office application suite (word processing, spreadsheet/database, presentation software) required
  • Salesforce, sales cloud preferred
  • Strong communications (verbal, written and presentation) skills with all types of audiences required
  • Experience in tracking expenses, maintaining budgets & reporting required
  • Proven ability to accurately and effectively record, compile, and present meeting notes required
  • Ability to maintain a calm, professional demeanor, confidentiality, and to effectively complete multiple tasks/projects with competing priority levels and deadlines
