The Senior Executive Assistant provides organizational, professional and confidential executive administrative support to the Chief Academic Officer (CAO ), and the Government Relation, Education, Accreditation and Training (GREAT) teams.

Job Responsibilities:

    • Provide administrative support to the Chief Academic Officer (CAO) and members of the Education department in an efficient and professional manner.
    • Heavy calendar management and meeting coordination interfacing with external and internal clients including meeting coordination as well as keeping CAO on schedule and prepared for daily meetings; meal catering; meeting room scheduling, notetaking when requested; handle conference registrations and hotel accommodations support etc.
    • Manages extensive travel schedules - both domestic and international.
    • Supports preparation of professional presentations to high level executives and government officials as well as internal audiences.
    • Works closely and communicates effectively with the CAO to keep her informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CAO updated.
    • Conserves CAO time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
    • Maintain confidentiality of department initiatives and projects as directed.
    • Process expense reports in a timely manner and in accordance with KinderCare Education policy.
    • Take ownership of issues referred to the department, directing them to the appropriate individual or resource, and following up to ensure resolution.
    • Foster and maintain effective cross-functional partnerships with internal and external customers, ensuring that there is a high level of engagement and support across all functions.
    • Maintain highly organized filing system (paper and electronic) for quick and efficient reference.
    • Order office supplies, business cards etc.
    • Coordinate IT/Facilities support for computer, office equipment, and maintenance issues, new employee onboarding.
  • Meeting Support and Event Planning: Schedule conference rooms, manage audio/video needs, agenda/materials creation and management, take and distribute meeting notes upon request, research and secure appropriate venues for department meetings/dinners, provide meeting supplies, activity materials, catering, physical room set up.
    • Other duties as assigned.

The successful candidate for this position will have the following experiences and expertise:

    • Minimum 5 years' experience in an executive administrative role requiring a high level of organization, autonomous decisions, customer service, and confidentiality
    • Four-year college degree preferred
    • Requires high level of proficiency with Microsoft Word, Excel, and PowerPoint
    • Experience managing heavy travel schedules both international and domestically, highly desired
    • Excellent written and oral communication skills
    • Excellent attention to detail and ability to follow through
    • Ability to multi-task
    • Ability to be flexible and nimble with changing work priorities
    • Must be able to quickly prioritize and direct multiple requests to the appropriate individual(s)
