Job Description

Job Summary:

Financial Tracking

  • Run daily invoice reports for Portland Service Dept, Internal orders, and reconcile activity and revenue, shipments and invoices
  • Track to ensure that the Service orders completed and provided to shipping day prior were invoiced
  • Ensure that the shipped shipments from day prior are invoiced against the correct profit center and generated correct dollar amounts
  • Track orders/repairs as PO's are received for timely shipment
  • Track, record and log all quote requests and quote activity from system line supervisors to CSR's
  • Record and report revenue for all shipments, spares for both internal and external customers, in addition to service repairs
  • Track spares shipments throughout its entire process; service planning to shipping, invoice and GTC
  • Track WAWF requests for completion and timeliness
  • Ensure accounting and sales forecast data is accurately and regularly provided.

Reports- Weekly, Monthly, Daily Basis

  • Generate necessary financial forecasts and reports on a monthly or as-needed basis
  • Distribute revenue financial updates and numbers on a weekly basis, more often near quarter end
  • Distribution of quarter forecast on repair status's and expected potential revenue numbers
  • Distribute monthly service metrics data
    • Backlog
    • RTAT

eTime Correction

  • Check and correct eTime labor hour errors through SAP, multiple times daily
    • Run through batches in SAP and pull out all errors
    • Check eTime program for correct hour information
  • Maintain photo log of errors for historical tracking purposes
  • Once correct hours are identified, make final corrections back through SAP

Service Price List

  • Maintain current prices of all material and services conducted by Service department Calculate MSRP and evaluate service price list on yearly basis for new fiscal calendar year
    • Run and export updated COGS every September
    • Run cost analysis and work with line supervisors on kit requirements, contents and pricing on maintenance and upgrade kits


  • Gather and obtain all necessary required paperwork from CSR
    • BIS-711 (as applicable)
    • EUS
    • Customer Purchase Order (as applicable)
    • DSP 83 (as applicable)
  • Review documents for completion and accuracy and signatures
  • Begin processing of ELR through the OCR portal
  • Work with GTC department on completion of ELR and submit
  • Once Dept. of Commerce or Dept. of State is approved and license received, provide notification to CSRs and all downstream departments to facilitate shipments accordingly

Job Qualifications:

  • Bachelors Degree in Business, PMP, or relevant degree desired
  • 5 years experience in sales administration or equivalent in the high-technology government, aerospace and/or commercial and international industries.
  • Sales administration/order fulfillment process experience a plus
  • Knowledge of PC software - Microsoft Office programs (Word, Excel, Power Point)
  • Knowledge of Power BI (preferred)
  • Excellent interpersonal, written and verbal communication skills required.
  • Strong decision making and problem solving skills
  • Understanding of ITAR and BIS compliance desired
