The Sr. HR Generalist will support the Human Resources function primarily in the areas of compliance, HR technology, reporting and employee HRIS file changes.


Key Responsibilities:


Compliance:


  • Maintains compliance with federal, state and local employment and benefits laws and regulations.

  • Coordinates and assists with the ACA and ERISA benefits reporting requirements; including conducting non-discrimination testing and filing of 5500s.

  • Prepares and finalizes the annual affirmative action plan in conjunction with our affirmative action vendor.

  • Runs reports and completes EEO-1 and VETS-4212 annually for management review and filing; maintains applicant and current employee EEO records.

  • Administers various human resource plans and procedures for all organization personnel; assists in the development and implementation of personnel policies and procedures; prepares and maintains the employee handbook and the policies and procedures manual.

  • Partners with employees and management to communicate various human resource policies, procedures, laws, standards and other government regulations.

  • Maintains and processes all Unemployment Notices of Entitlement and potential charges in a timely, efficient manner.

  • Ensures compliance with USCIS Form I-9 Employment Eligibility Verification; periodically audits Forms I-9.

  • Maintains personnel files in compliance with applicable legal requirements; including Department of Transportation DQ files.

  • Partners with HR and management to ensure job descriptions are up to date and are audited as necessary.

  • Serves as the department lead on any requests for external or internal audits.

HR Technology


  • System Maintenance: Assists in the review, testing and communication of HRIS updates from HRIS vendor.

  • System Support: Provides support for HRIS case management with regard to issues that may arise, or improvements requested of the system.

  • Projects/Process Improvement: Recommends process/customer service improvements, innovative solutions and policy changes based on research and system enhancements. Serves as a key liaison with payroll and other stakeholders.

  • Reports: Writes, maintains and supports a variety of reports. Assists in development of standard reports for ongoing business needs.

  • Training: Develops user procedures, guidelines and documentation. Trains internal clients on new processes/functionality. Trains new system users.

  • System Configuration: Manages set up of annual processes such as benefit open enrollment, performance management and compensation management. Monitors compliance of those programs.

  • System Access: Manages and maintains role configuration and system access.

HRIS Employee File


  • Keeps employee records up to date by processing and approving employee status changes in timely fashion and in conjunction with the payroll schedule. Changes can include but are not limited to; benefit adjustments, salary changes, promotion or job changes, direct deposit, W2 withholding, etc.

  • Serves as the primary liaison with payroll to ensure a timely and accurate processing of payroll. Monitors and approves all items prior to being sent to payroll.

  • Manages any changes from our 401k vendor that must be made on employees records. In addition, sends participant file to 401k vendor on a bi-weekly basis.

  • Completes all employment verification requests or other requests for information on employees employment or pay history.

Experience:


  • 5 to 7 years HR related experience. Exposure to compliance, HRIS and reporting required.
  • Knowledge of all local, state and federal regulations and laws with respect to payroll & HR related functions.

  • Experience with UltiPro highly desired

  • Excellent computer skills including proficiency in MS Office (Advanced Excel Skills) and HR/Payroll software required. Experience with UltiPro preferred.

Education:


  • Bachelors Degree in Human Resources or Business required.

  • PHR/SPHR and/or SHRM-CP/SHRM-SCP Certification preferred.
