The Sr IT Program Manager is responsible for the overall direction, coordination, implementation, execution, control and completion of technology programs and projects ensuring consistency with company strategy, IT standards, IT architecture and IT department commitments. This includes partnering with a wide variety of business units and programs. The Sr IT Program Manager will manage scope, cost and schedule through creating and maintaining program and project plans that communicate tasks, milestone dates, status updates and resource allocation. Sr IT Program Manager will facilitate risk, change and integration management. He/she will track, monitor and record validation from project teams with regards to quality assurance, Global Trade, and IT compliance. Accountable for deploying standardized work, project management methodologies, governance and tools to enable consistent, high quality, agile and waterfall project management style execution of IT projects.

Regular activities for this role include the following:

  • In coordination with the Global Trade Compliance Technology Director, lead the planning and implementation of projects associated with an Automated Export Compliance System. These projects include new solution evaluations, software implementations, and existing software enhancements.
  • Facilitate and ensure timely and accurate communications to business leadership and sponsors.
  • Ability to communicate at various levels of the organization.
  • Facilitate Business and IT approval of program or project scope, cost and schedule.
  • Forecast resource allocation requirements: define project tasks and resource requirements.
  • Coordinate and manage internal and external resources.
  • Define the responsibilities of parties involved in the program including customers, management, stakeholders, IT management, project team, vendors and others affected by the project.
  • Comply and enforce IT and Company-wide policies and procedures.
  • Execute program initiatives driving successful program completion including organizing and conducting program and project team meetings, program and project kick-off meetings and setting expectations related to team meetings.
  • Manage program budget and internal program invoicing processes.
  • Develop Risk Plan, facilitate contingency plan actions and conduct regular Risk Analysis reviews.
  • Partner with the Communication team to create plans, may engage with corporate communication team. Identify opportunities for frequent, interesting program/project information that keeps the intended audience informed, engaged, and prepared for change.
  • Identify, track, monitor, escalate and communicate program-related issues, scope changes, variances and contingencies that may arise during the implementation of IT projects.
  • Ensure proper documentation and facilitate transition to support.
  • Complete close-out activities including program and project financial reconciliations, lessons learned.
  • Develop proposed budgets and manage operational costs; conduct near and long-term financial forecasts for expanded functionality/user base.
  • Establish and maintain regular written and in-person communications with the program sponsors, stakeholders, department heads, and end users regarding pertinent project activities regarding cost, scope and schedule.
  • Prepare and/or assist in preparing RFIs, bid proposals, contracts, scope of work reports, reconciliations, and other documentation for IT programs and associated efforts.
  • Assist in creating organized and efficient Program and Project Management operating model, processes and associated templates. Review regularly for improvement opportunities.
  • Build rapport and trust with the team as a respected IT partner.
  • Mentor IT project management teammates and act as a champion of IT project management methodology.

Requirements:
  • 5-7 years of directly related IT Program Management experience
  • PMP certification preferred
  • Proven experience leading complex and visible strategic programs/projects
  • Ability to manage 1 very large program and / or 1-3 large projects concurrently and multiple project managers in their reporting chain
  • Understands customer dynamics and needs at all levels (end-user to executive)
  • Capable of taking complex projects/solutions and breaking them down into actionable activities to successfully deliver them to the business on time and within budget
  • Specialized expertise and maturity in judgment to analyze key program indicators and ability to take necessary proactive actions as needed to keep the program on track
  • Demonstrated expertise setting up, integrating and managing multiple projects within any given program
  • Strong skills in conflict resolution, negotiation, influencing, facilitation and communication
