Under general supervision, provides administrative support and is responsible for smooth communications between the department/division and customers, suppliers, and other departments/divisions.

  • Provides administrative support to recruiters and others within the ROSS by processing of new hire candidates' documents to include the upload into SharePoint and Polaris.
  • Sends, receives, and verifies the completeness and accuracy of all documentation pertaining to new hires.
  • Under supervision, submits new hire packets to candidates processing for training/deployment.
  • Maintains files and documentation as required.
  • Ensures documents such as W9, W4, Direct Deposit, Emergency Data, etc. are complete, current and stored appropriately and securely.
  • Provide high level of confidentiality.
  • Audits personnel documents by ensuring all fields are complete and contain signatures and documents have the current revision numbers.
  • Updates electronic files and databases.
  • Interacts with applicants by providing email instructions concerning how to complete the background/DMV checks. Assists applicants via telephone communication if necessary.
  • Pipeline management and interdepartmental hand off of new hire personnel, to include training registration/coordination
  • Other duties as assigned.

  • Minimum of one year of administrative experience required, preferably in a Human Resources department.
  • Requires good computer skills, including MS Office Suite.
  • Effectively utilizes Applicant Tracking Systems (ADP).
  • Effective verbal and written communication skills.
  • Strong organizational skills with the ability to manage time and multiple priorities to completion.
  • Ability to adapt to a rapidly changing environment

Work is typically based in a busy office environment and subject to frequent interruptions. Business work hours are Monday-Friday from 8:00 am to 5:00 pm, however some extended or weekend hours may be required.


May be required to lift and carry awkward items weighing up to 25 lbs. Requires intermittent standing, walking, sitting, squatting, stretching and bending throughout the workday.
