Executive Admin to Corporate Service, Wintrust Mortgage Corp

Reporting to the SVP Corporate Services, this position provides executive support to departments that are centralized in the holding company inclusive of audit, compliance, risk, and IT. The Executive Admin serves as the secretary to the Executive Advisory Committee. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Admin will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Roles and Responsibilities

  • Provide daily administrative support to SVP including managing a complex meeting schedule.
  • Proactively manage requests from internal and external auditors.
  • Manage remediation tasks and responses relative to OCC reviews.
  • Respond to Ginnie Mae Field Review requests.
  • Act as Executive Advisory Committee secretary. Upload BOD materials, maintain roster, coordinate meeting/event logistics, and send meeting invites to directors. Follow-up with meeting minutes and reports to BOD and Audit Committee.
  • Act as IT Steering Committee Secretary. Retain all meeting records. Maintain meeting calendar and schedule/plan meeting logistics.
  • Prepare organizational charts quarterly for EAC committee and update as needed on an ad hoc basis in Visio.
  • Ongoing Policy/Guideline monitoring, tracking and record keeping.

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Ability to manage projects.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external and internal partners.
  • Expert level written and verbal communication skills.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment.
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.

Education and Experience Requirements
  • Bachelor's degree preferred. Paralegal experience preferred but not required.
  • Strong work tenure: five to 10 years of experience supporting functions in mortgage, banking or financial services.
  • Experience working with auditors and examiners.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) and Visio.
