Associate or Senior Registrar, Exhibitions (Full-Time, Exempt)

You will oversee, train, and monitor registration staff working on exhibition-related legal documentation, crating, shipping, insurance, couriers, contract conservation and security, Federal Indemnity and Immunity from Seizure applications, and related scheduling and budgeting. Depending on your qualifications and experience, you may be hired at either the Associate or Senior level.

Schedule: This is a full-time position. After-hours supervision of art shipments is required as needed. Domestic and international travel is required.
Pay Range: $53,000 - $66,200 per year based on experience (Associate level); $62,400 - $83,200 per year based on experience (Senior level).
Relocation assistance may be provided in accordance with museum policy.

What You’ll Do
As an Associate or Senior Registrar, Exhibitions, your responsibilities will include:
- Oversee management and implementation of registration and registration staff working on special exhibitions and outgoing loans.
- Develop and coordinate registration logistics (crating, shipping, security during shipment, contract conservation, insurance, courier arrangements and related scheduling) for art related to temporary and special exhibitions.
- Coordinate, schedule, and supervise all arrangements and contractors (shippers, packers, security agencies, contract conservators, customs and insurance brokers) for exhibition loans on behalf of and between the museum, lenders, and borrowers.
- Coordinate and oversee loan and exhibition courier-related arrangements including air or ground transport, medical insurance, hotel, per diem, and schedule.
- Develop, revise and update standard loan agreements, related contracts, and other legal documentation for all special exhibitions and loans.
- Work with database architect to create new interface, data entry standards, and reports for exhibition management on DAM’s Database and oversee training of staff in using same.
- Coordinate preparation of U.S. Federal Indemnity and Immunity from Seizure applications and oversee implementation and follow-up.
- Arrange and oversee domestic and international shipping, and customs paperwork (proforma invoices, CITES, ESA-related, and port exemption applications) related to exhibitions and loans.
- Develop and coordinate Courier Training Program for all qualified museum staff accompanying artwork for exhibition and loan.
- Ensure all courier arrangements managed by Registrar’s office fall under appropriate guidelines and professional standards.
- Oversee development and revision of policies, guidelines, documentation, and manage registration staff working on the outgoing loans including coordination of estimates and scheduling considerations for multiple ECS and Conservation departments, legal documentation, packing, crating, condition reporting and related courier arrangements.
- Oversee generation of registration budgets relating to special exhibitions, outgoing loans and registration/logistics expenses relating to exhibitions; monitor expenditures by contractors (shippers, packers, contract conservators, customs and insurance brokers).
- Work with packing and installation crews in coordinating installation and deinstallation schedules in manner that accommodates courier and shipping schedules.
- Manage Registration Assistant, contract special project personnel, interns, and volunteers in projects relating to collections processing and research.
- Hire and supervise all contractors involved in shipments and loan coordination.
- Support DAM’s Racial Equity Roadmap initiatives through goal setting and applying a racial equity lens in daily work.
Other duties include:
- Pack, unpack, and transport artwork/crates within and outside museum.
- Train registration assistants, contract, intern and volunteer personnel.
- Provide courier services.
- Answer public researcher requests.
- Assist in installation of artwork.
- Other duties as assigned.
Requirements
What We’re Looking For
You might be a great fit if you have:
- Master’s degree in museum studies, art history, anthropology, or related field or equivalent combination of experience and education.
- Minimum of 5 years’ experience (for Associate level) or 7–10 years’ experience (for Senior level) in a museum registration office that includes specific involvement with exhibition and/or outgoing loan coordination.
- Familiarity with registration-related records and record keeping, collections management theories, condition reporting, fine art insurance, and professional art shipping, art handling and preventative conservation required.
- Computer and database management skills essential; Excel and ARGUS experience preferred.
- Strong organizational and interpersonal skills.
- Detail oriented.
- Skill in negotiation and resolution of non-routine problems.
Physical Requirements and Working Conditions
- After-hours supervision of art shipments as required.

- Domestic and international travel.
- Subject to many interruptions.
- Pressure due to multiple calls and inquiries.
- Lifting, pushing, or pulling up to 50 lbs.

This position is not covered by a Collective Bargaining Agreement with AFSCME-CWU.
