The Accounting Specialist will assist in the performance and maintenance of the financial activities of the organization with responsibility for the day to day activities of AP/AR team associates.This position is responsible for supporting the both A/P and A/R and general accounting functions.

Essential Duties and Responsibilities

  • Assist controller with standardization of processes and procedures performed by support/admin personnel as it relates to the efficiencies of the AP/AR team

  • Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable

  • Creates invoices according to company practices; submits invoices to customers

  • Draftcorrespondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment

  • Creates reports regarding the status of customer accounts as requested

  • Researches customer discrepancies and past-due amounts with the assistance of the Collections Manager and other staff

  • Collaborates with the Collections Manager to reconcile accounts receivable on a periodic (at least bimonthly) basis

  • Assists in generating monthly billing statements based on the general ledger

  • Perform 3-way match on invoices received through purchase orders

  • Process non-purchase order invoices received

  • Respond to inquiries from vendors and research/resolve outstanding issues

  • Prepare weekly reports

  • Other duties and responsibilities related to the nature of the job may be assigned on a temporary or permanent basis as needed

  • Associate's degree or equivalent from a two year college; or equivalent in years of related experience or training

  • Excellent interpersonal, verbal and written communication skills to build quality relationships.

  • Proficient in MS Office applications, especially Excel

  • Skilled and accurate in data entry and data research with 10-key operation experience

  • Ability to negotiate for positive results

  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume

  • Previous accounting experience preferred

  • Excellent communications skills, verbally and in writing with all levels within the company and vendors

  • Knowledge of basic accounting and math

  • Ability to read and comprehend simple instructions, short correspondence, and memos

  • Knowledge required on construction products, computers, inventory, and telephones

  • Ability to read and interpret documents such as new vendor forms, purchase orders, receiving documents, vendor statements and invoices, credit applications, and SOX documents

  • Strong ability and skill to follow-up, attention to detail and organization

Physical Environment

  • Lift up to 10 lbs. and occasionally lift and/or move up to 25 lbs

  • Ability to sit and stand for extended periods of time
