Position Summary The Accounts Payables Supervisor is responsible for overseeing all AP initiatives and activities including r econciling accruals to the invoices, reconciling vendors statements, working with treasury to trace payment issues, coordinating vendor set up, answering vendor inquiries, and researches system issues. In addition to day to day AP activities, this individual leads and motivates a great team of up to 6 analysts, including setting KPIs and measuring performance. Essential Job Functions Managing Team
  • Overall management of 6+ person AP team, including two direct reports (Team Leads) responsible for day-to-day accounts payables operations
  • Monitor each team member's workflow using transactional measurements and scorecards; utilize daily metrics to manage team workload and plan resources
  • Conduct interviews for potential new hires and develop on-boarding plans for those hired
  • Create progressive development plans for members of the team
Operations
  • Become a SME on all systems and process that support the department's work
  • Drive continuous improvement in every aspect of the department
  • Identify Key Performance Indicators and develop monitoring process to drive departmental efficiencies
  • Work in collaboration with other departments on successful integration of new processes and newly acquired businesses
  • Work closely with Procurement teams to resolve vendor issues, escalating through the organization as appropriate
  • Document all tasks with SOPs.
  • Develop and update policies and procedures
  • Handles a broad scope of internal processes including daily invoice processing, payments, reconciliation general ledger and month-end-closing with a focus on accounts payable functions
  • Monitor the freight pay email box and respond to inquiries
  • Review OTM for processing errors, research errors, and take appropriate corrective measures
  • Process and track claims
  • Prepare non-PO invoices for manual entry
  • Communicate with internal and external vendors regarding payment inquiries
  • Responsible for vendor reconciliation
  • Responsible for clearing Unpaid Freight report.
Reporting and Analysis
  • Prepare presentations for all levels of the organization, from staff analysts to senior executives
  • Review weekly cash flow forecast
  • Prepare ad hoc analysis and reports on as needed basis
  • Review and analyze trends for top vendors
Education and Experience
  • Bachelor's Degree in accounting
  • Advanced data analysis with Excel and database is required
  • Experience in Transportation a plus
  • 5+ years Accounts Payable experience in a Consumer-Packaged Goods environment
  • Experience managing large team
  • Strong knowledge of all aspects of Accounts Payable
  • Discreet with confidential information
  • Able to manage multiple projects with accuracy and efficiency
  • Independent and proactive worker, with ability to multi-task and problem solving
  • Exceptional organizational, interpersonal and communication skills
