The primary function is to provide administrative, secretarial, and technical support to administrative officials, doctoral and non-doctoral staff, senior staff and committee chairpersons of the Department of Research. Direct interaction with Doctoral and senior staff on a daily basis. A high level of sensitivity and discretion coupled with excellent written and verbal communication skills are a must, as well as the ability to prioritize and work independently. Duties include special projects for the Department at the direction of the Operational Vice President, Administrator for Research, administrative officials, or supervisor, preparation of correspondence, reports, travel requests, reimbursements, payment requests, and supply ordering. Telephone coverage to include receiving, initiating, and fielding calls, maintaining databases and spreadsheets; filing; receiving visitors and recording meeting minutes. Must display an understanding of the importance for maintaining confidentiality, and demonstrate the ability to do so on a daily basis.

Work in concert with other members of the administrative team in relation to administrative and regulatory committee functions. Coordinate and act as recording secretary for committee meetings. Act as administrative backup support to other administrative support staff during times of absence or when needed for larger functions. The Administrative Assistant will have reporting responsibilities, as appropriate, to the Administrative Coordinator, Committee Chair persons, the Operational Vice President of Biomedical Research, Administrator for Nemours Research and Associate Administrator for Nemours Research.

  • Day-to-day support to doctoral and senior staff for travel reimbursements, payment requests, reimbursements, travel requests, document preparation, and other duties as needed; prioritize and work independently
  • Responsible for managing calendar for assigned persons
  • Preparation of confidential and/or sensitive documentation; handle diversified duties and multiple open projects
  • Confidentiality in all aspects of the position
  • Receive/field and initiate phone calls and other communications using verbal, written and electronic media; receive visitors
  • Maintenance and typing of data files and spreadsheets; filing and photocopying
  • Complete special projects at the direction of the Director of Biomedical Research, Administrator, Assistant Administrator or supervisor
  • Travel arrangements, reimbursements, and arrange special functions accommodations
  • Take minutes and serve as recording secretary on committees as assigned; coordinate committee and administrative functions as assigned and assist other committee coordinators as assigned
  • Provide back-up support as needed for Research Administration business matters and services to Administrative support staff.
  • Meet regularly with supervisor and other members of the department as needed to receive and disseminate pertinent information and discuss issues of relevance.

    • Associates degree
    • At least 6 months relevant experience
