The Administrative Support Specialist position provides professional administrative support to the Director and for the Anne and Henry Zarrow School of Social Works faculty, staff and students located on the Tulsa campus. Duties may include but are not limited to:

Job Duties:

  • Administrative support

    • Manage Directors calendar

    • Create and disseminate Directors weekly digest

    • Assist with faculty annual evaluations and faculty Tenure and Promotion process

    • Schedule meetings for Committee A and Faculty/Staff search interviews

    • Assist with meeting space scheduling

    • Manage OU-Tulsa School of Social Work calendars

    • Maintain materials hanging in hallways

    • Coordinate Tulsa SWK social events including but not limited to holiday parties, welcome lunches, assist with student appreciation events

    • Assist with faculty/staff/GA onboarding

    • CEU events

    • Electronic file maintenance

  • Office Supplies, Equipment, & Maintenance of Space
    • Coordinate with OU-Tulsa Central Admin/Operations on space needs including keys, phones

    • Serve asSocial Workcontact for general office equipment and supplies

    • Responsible for Operations work order submission and tracking

    • Ensure copy room is stocked

  • Manage School Policies and Manuals
    • Oversee annual revisions & maintenance of Schools policy manuals: Field Manual, Faculty Manual, UG/Grad Handbooks, Performance Policy, Community Faculty Manual, and other policy documents

  • Managing the social work email account(s)

  • Website and social media backup

  • Other duties as needed

Required Education: Associates degree OR equivalent combination of education/job related experience, AND:

  • 18-36 months of office managementexperience


  • Proficient in Microsoft Office

  • Ability to speak, read and write clear concise English

  • Basic math skills

  • Basic computer skills

  • Highly organized and bale to handle multiple projects and deadlines

  • Able to communicate well and build rapport quickly with students, faculty, and staff

  • Able to produce reports and complete work within deadlines

  • Able to work well with interdepartmental teams and initiatives

  • General office skills

  • Customer service

Advertised Physical Requirements:

  • Frequent exposure to pressure caused by deadlines and busy periods; Must be able to crouch, pull, reach, stand, engage in repetitive movements including movements of the hands, wrists or fingers, grasp, walk, speak including expressing oneself or exchanging information with others, hear including receiving detailed information orally or making fine discriminations in soundand see including color, depth perception or clarity.

Department Preferences:

  • Experience managing calendars

  • Experience in higher education
