Reporting to the Senior Director of Strategic Technology, the Associate Director - Capability Portfolio Lead is responsible for non-program related Capability builds, including all IT system projects. This role will interact with the all the IT Strategic Technology leads, IT portfolio leads, key business leads and stakeholders and individual Project Managers.

Summary of Key Responsibilities

1. Continue to evolve the Capability Building planning process to identify, prioritize and resources key business capability builds need to ensure the most critical and essential capability builds are completed to meet key business objectives. This includes:

  • Develop and delivering executive-level presentations to various stakeholders (project team through executive leadership) to communicate the final capability portfolio
  • Responsibility for improving of the existing processes and templates to capture the information needed to review and prioritize capability builds;
  • Developing financial templates needed to capture internal resource needs (FTEs) and external resources and integrate with overall financial processes;
  • Analyzing financial spend to inform project costs estimates;
  • Develop and update capability 3-5 year roadmap views of future capability views;
  • Lead the Information Technology Management Office (ITMO) meeting with key IT and business stakeholders to communicate and share updates, status, and key decisions, drive project execution and resolve issues and interdependencies. These activities include:
  • Review all key IT activities to ensure work is prioritized across the portfolio
  • Consolidate project plans to develop overall capability portfolio roadmap and portfolio milestone view
  • Develop consolidated portfolio status, issues, decisions, etc. reports based on individual project status reports.
  • Develop presentation materials to support meeting conversations
  • Work with finance to provide spend updates and identify key upcoming planned spend
  • Document meeting decisions and action items
  • Develop executive summaries of the capability portfolio to be presented to Capability Building Review Committee (CBRC) made up of executive leadership:
  • Facilitate any project closures with the project Sponsor to ensure project goals here achieves the
  • Develop CBRC presentation documenting key decisions and status
  • Document meeting results and distribute key decisions and action items
  • Follow up on action items as needed
  • Continue to develop IT project management and IT SDLC project methodology including:
  • Continuing to refine Project Management methodology and templates (e.g. project plan standards, status reports, issues management, risk management, etc.)
  • Train PMs on project expectations and approaches. Ensure individual PMs follow agreed to project management
  • Review individual project plans, status reports for key decisions, issues, risks, resource challenges, etc.
  • Continuing to develop PM Playbook to define PM procedures;
  • Lead effort to develop and implement Portfolio management system and manage system for IT capability builds
  • Oversee project financial and resource tracking to help facilitate portfolio trade off decisions:
  • When funding opportunities / challenges arise, recommend potential trade off / pull in decisions to manage to spend targets
  • Develop a robust financial forecasting process to determine funding trajectory to predict end of year spend targets;
  • Tracking key PO to determine spend levels remaining and key upcoming spend activities to ensure timely execution;
  • Assist with vendor management activities to ensure timely package selection and vendor negotiations;
  • Manage project plans for large strategic projects (TBD)
  • Aid in the develop of project plans with key team members
  • Develop summary status reports for these key projects
  • Act as the Smartsheet administrator for this critical project management tool
  • Manage the contract and user administration for the Smartsheet application
  • Develop Smartsheet COE to share best practices and uses for smartsheet
  • Respond to inquiries on Smartsheet questions from the Smartsheet community
  • Qualifications

    • A Bachelor's degree is required, Masters is a plus
    • 5-10 years Project Management/PMO experience required.
    • Experience in project and budget planning and tracking. Experience with capital and OpEx budgeting processes.
    • Experience using project management software. Smartsheet a major plus.
    • Experience in a GXP-regulated environment
    • Experience project planning/management and metrics skills
    • Experience financial budgeting skills
    • High degree of computer literacy (MS Project, MS Excel, MS Visio, MS PowerPoint)
    • Demonstrated multi-tasking and time management
    • Successful candidate needs a high attention to detail and ability to think and function at multiple levels of the business - from strategic, tactical and operational levels
    • Important to have highly evolved communication and soft skills to manage various stakeholders in various levels of the organization
    • Business analysis and critical thinking with experience in process improvement and simplification
