Customer Service Representative
The Customer Service Representative provides accurate information to customers regarding production, receipts, and shipments of materials. Maintains accurate inventories and must be knowledgeable in recognizing and resolving inventory/reporting issues. Represents the company by responding professionally, timely, and accurately to customer inquiries.
Job Responsibilities:
Data entry and Reporting
- Analyze production reporting, receipts, and shipments for accuracy.
- Report information accurately and timely to customers via customers' requests.
- Enters accurate information into ERP system ensuring matching with the customers' systems (if applicable).
- Is proactive in recognizing bills of material inaccuracies both in the system and on production batch sheets.
Inventory Management- Review and reconcile inventories at the end of production runs, audits, or as requested.
- Work with production personnel to understand processes in order to resolve and alleviate reporting and inventory issues.
- Reconcile customers' systems and report adjustments to customers.
- Create and evaluate yield analyses when inventory discrepancies require more definitive explanations.
Customer Relations- Respond to customers' correspondence professionally, timely, and accurately.
- Be knowledgeable with customers' products and processes to assist with inventory inquiries.
- Understand and maintain knowledge of customers' systems.
- Provide month end reporting to customers and accounting with accurate billing information.
- File paperwork according to company and customer requirements.
- Act as backup in the absence of other CS Representative(s).
Shipping- Receive shipping orders from customers, verify inventory availability, and arrange trucks as needed.
- Ensure proper DOT regulated bills of lading and SDS' are provided to warehouse
- Ensure that personnel and security guard has updated load information.
- Report shipments timely to customers including any requested information.
Production Preparation and Interaction- Attend all pre-production meetings to understand production and customer requirements per product.
- Assist production personnel in creating, updating, or editing batch records when needed and maintain customers' part numbers on batch sheets.
Experience Required
- High School Diploma or GED
- Detail Orientated
- Microsoft Skills
- Excellent communication skills
Experience Preferred
- Prior customer service experience
- ERP system knowledge
