Position Summary

The event and visitor services manager is responsible for the successful planning and execution of rental events at the Moody Center for the Arts, including meeting with the organization requesting space usage, maintaining communication throughout the planning process, coordinating catering and janitorial needs, and ensuring all university safety standards are upheld. Additionally, the position is responsible for the daily opening and closing procedures of the Moody Center's exhibition spaces and should create a welcoming and professional visitor environment. Further, the position serves as an advocate for Moody resources, programs, and services. The position is responsible for the hiring, training, scheduling and retention of the student Gallery Guide program. The position is responsible for the day-to-day scheduling, supervision, training, and management of all volunteer and paid greeters at the Moody Center.

Salary

$52,000 to $55,000

Essential Functions

  • Serves as project manager of multiple activities, scopes out project tasks/team assignments and guides team to create work plans and schedules, monitors progress, and meets milestones
  • Establishes and maintains relationships with internal and external university partners
  • Acts as department representative at cross-departmental project meetings
  • Operates as account manager on deliverables, program metrics, and status reports
  • Recommends and schedules events into appropriate off-campus and on-campus venues
  • Oversee support staff, students, volunteers, and contingent event staff
  • Trains and supervises junior event planners in proper execution and implementation of events
  • Responsible for the hiring, training, scheduling and retention of the student Gallery Guide program
  • The position is responsible for the day-to-day scheduling, supervision, training and management of all volunteer and paid greeters at the Moody Center
  • Performs all other duties as assigned

Additional Functions / Information
  • Supervises Skyspace student manager to ensure docents are trained and scheduled consistently
  • Responsible for the hiring, training, scheduling and retention of the student Gallery Guide program
  • Develops a preferred catering list and coordinates catering services for all events
  • Serves as liaison with vendors on event-related matters; cultivates event staff; ensures personnel requirements of events are properly met
  • Leads recruitment efforts to grow greeter program; creates FAQs and information documents for greeters to ensure knowledgeable services; coordinates information session and tour at start of each exhibition season and the thank you event at conclusion of each exhibition season for greeters; works with deputy director, manages the greeters' Rice visitor status and ensures greeters' knowledge of benefits associated with that status
  • Works with deputy director to manage Moody Cafe vendor relationships
  • Compiles of daily/weekly/monthly attendance reports
  • Drafts public surveys to collect data to assess success of programs and identify areas for improvement
  • Analyzes quantitative and qualitative demographic data of visitors to determine measures of central tendency, measures of dispersion, and relationships between variables

Required Qualifications
  • Bachelor's degree or higher
  • 3 years of related experience in an event related field, including the coordination of services with external clientele
  • A willingness to work a non-traditional schedule, including evenings and weekends, as events and performances require
  • Strong project and event management skills
  • Strong communication and customer service skills
  • Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness
  • Strong problem solving and analytical skills

Preferred Qualifications
  • Excellent communication ability with clients, listening to their needs and presenting ideas and solutions to their requirements, as well as with suppliers, contractors, wait staff and many other parties at the same time
  • Ability to work independently, yet coordinate successfully with a wide range of faculty, staff, students and visitors
  • Ability to creatively and proactively problem solve, and to be flexible in the face evolving programs and client needs
  • Ability to manage multiple simultaneous projects and work assignments from a variety of staff and volunteers
  • Exemplary customer service throughout planning phases and execution of events
  • Strong interpersonal skills, with an ability to work with diverse constituents, including faculty, staff, students, patrons, artists and the general public
  • An entrepreneurial, self-starting mindset
  • A desire to work as part of a collaborative team in a dynamic, fast-paced environment
