Job Description Summary:

The Governance Coordinator is responsible for providing high-level administrative support to the governance team and Board of Governors (BOG) with regards, but not limited to, all aspects of planning meetings and activities, travel arrangements, expense reports and document preparation. The position also provides administrative support, including document retention, document editing, meeting planning, draft meeting minutes, processing and tracking invoicing and expenses, and performing other clerical functions such as extensive communications and maintaining website postings, etc. The successful candidate in this position will work closely with the BOG and committees to achieve organizational goals and will be responsible for handling highly confidential matters and materials with discretion as well as anticipating the needs of the governance function and BOG. Additionally, the Governance Coordinator provides administrative support to the governance team on multiple projects and activities as required.

The position will be headquartered in Charlottesville and will be supported by the Head, Corporate Governance. There is an opportunity for remote/hybrid work for this role, depending on location.

Job Description:

As the Governance Coordinator, you will have the opportunity to:

  • Provide a high level of professional service and support to the governance team and BOG.
  • Be responsible for extensive polling, scheduling, and calendar management for the governance team and BOG; inclusive of BOG meetings, conferences, and activities.
  • Assist the governance team with preparing meeting materials, agendas, summaries, communications and minutes.
  • Manage the content and flow of information for BOG and committee meetings; inclusive of maintaining the posting and distribution of relevant materials on the BOG portal and CFA Institute website while complying with paperless environment standards.
  • In partnership with Travel & Event Management, coordinate meeting logistics, meeting communications, and travel requirements for all attendees. Accountable for managing, coordinating, and arranging travel and travel-related activities for the BOG and governance team; prepares housing and social intention forms.
  • Manage invoices and Purchase Orders for the governance team and expense reimbursements for the BOG.
  • Assist with preparing visa instructions and letters, as required per location, for all meeting attendees.
  • Assist with all aspects of the CFA Institute Inspirational Leader award program, including the recipient selection process and coordinating related aware events and logistics.
  • Conduct research, develop background information and compile data.
  • Assist the governance team on various projects and matters as needed, i.e., maintain contact details, rosters, email distribution lists, special projects, updating website content (external and internal) etc.

The skills and experience required for this role are:

  • Bachelor's Degree or an equivalent combination of education and experience.
  • Minimum 1-2 years of related experience in a professional office environment, preferably one with C-suite or Board interaction, and a positive, can-do attitude required..
  • High degree of competency in MS Office Suite, including Word, PowerPoint, Excel, and Outlook.
  • Ability and willingness to quickly learn how to use various web-based tools and organizational platforms and systems (i.e., Survey Monkey, Diligent, Cvent, Concur, NetSuite, Adaptive, etc.) required.
  • Must have exceptional time-management skills and outstanding attention to detail.
  • Must be competent in juggling competing priorities and adapting to changing expectations (agile).
  • Excellent communication skills, including verbal, listening, presentation, and especially superior writing capabilities required.
  • Ability to handle highly confidential matters and materials with discretion and a high degree of professionalism required.
  • Must be a composed, dedicated, and polished individual who can navigate high-pressure situations or tasks with short notice.
