Position Summary

The graduate and undergraduate program administrator serves as first point of contact with the public and general Rice community, greeting visitors to the department, answering questions from Rice students, staff, and faculty, and directing them to the appropriate people for assistance. S/he is the primary staff working on the Slate admission system, runs reports for admission committee, works with Graduate and Postdoctoral Studies on admitting students and sending out offer letters, enters data on Statistics Department data base, and logs graduate data for the Graduate Office Database. S/he also assists faculty and students with online courses.

Additionally, this position organizes department recruiting events, coordinates enrolling new students, coordinates commencement, assists graduate students with proposal and defense petitioning, and updates the alumni web pages and student contact web pages. The position requires someone who is willing and able to effectively make a broad range of academic and financial decisions for all members of the department in a busy and demanding environment.

We are seeking candidates who have demonstrated ability to lead and/or work collaboratively in teams comprised of individuals of diverse backgrounds, skills, and perspectives.

This position is hiring at a starting salary between $38,440 and $50,940 per year.

Essential Functions

  • Administers the daily operations of assigned program(s) with general guidance of a faculty member or a senior staff member
  • Conducts research, analyzes data, identifies trends, and develops reports - Plans and monitors annual project budgets, assists in the development of longer terms budget plans
  • Recommends and implements outreach plans, including communications, events, marketing, conferences, etc.
  • Plans and coordinates logistical aspects of recruitment activities
  • Provides support to faculty, staff, and students as related to the program
  • For academic programs, assists with graduate student recruitment and admissions, student records, curriculum support, coordinating the accreditation process, managing scholarships and fellowships, and monitoring student progress
  • Performs all other duties as assigned

Additional Functions / Information
  • Serves as department's primary point of contact for students, faculty, and visitors
  • Creates new student records on Slate; acts as main Slate administrator
  • Works on General announcements; coordinates with chair and registrar to make and submit changes on General Announcements
  • Updates the academic part of the department web page, alumni web pages, and student contact web pages
  • Sets up for department monthly lunches and colloquiums
  • Coordinates with faculty and FE&P for the moves
  • Prepares and mails Fedex packages
  • Primary staff to copy/scan exams

    • Basic knowledge of managing budgets and developing financial plans

Substitutions
  • In lieu of the education requirement, additional related experience, above and beyond what is required, on an equivalent year for year basis may be substituted

Preferred Qualifications
  • Bachelor's degree in business administration
  • Experience
    • Related administrative experience at a higher education or research institution
    • Rice University experience
  • Skills
    • Advanced knowledge of word processing, spreadsheet, email, and database software programs to complete work assignments
    • Familiarity with online grant proposal submission process (e.g., Fastlane, Grants.gov, Cayuse) and an integrated financial system
    • Strong verbal and written communication skills
    • Intermediate problem solving and critical thinking skills
    • Ability to work independently, owning responsibility for timely completion of work
