  • Purpose of Job
    • Manage the archival, retention, storage and destruction of paper medical records for the health system according to established policies. Support medical record management during onboarding and off boarding providers. Provide support to release of information (ROI) requests, utilizing legacy systems, as needed. Collaborate with health system resources to support the migration of electronic records, testing and training.
  • Job Requirements
    • Education
      • Associates degree in Health Information Management required.
      • Bachelor's level degree preferred.

    • Experience
      • Minimum two years of Health Information or medical record management experience required.
      • Project Management experience preferred.

    • License/Certifications
      • Registered Health Information Technician (RHIT) required.
      • Requires the ability to provide periodic transportation to other campus locations within a reasonable timeframe

    • Skills/Knowledge/Abilities
      • Skill communicating verbally and in writing.
      • Skill providing customer service.
      • Knowledge of project management tools.
      • Knowledge of Microsoft Office Visio, PowerPoint, Word, Access and Excel.

  • Essential Job Functions
    • Essential Functions I

      • Manage paper medical records for the health system.

        • Manage physical storage and destruction schedule of medical records based on established policies.
        • Validate monthly invoice for offsite storage facility and report to department leadership.
        • Provide routine reporting to HIM and Compliance leadership regarding retention/destruction activities.
        • Support implementation of Records Management improvements.
      • Manage provider transitions and storage of medical/financial records.

        • Evaluate medical records of new providers joining the health system to determine migration, destruction or storage needs.
        • Evaluate the resources required and estimate the financial impact of any record transition projects, monitoring expenses.
        • Collaborate with appropriate team members on project status.
        • Inventory records and assign/label records appropriately for offsite storage and/or destruction.
        • Maintain offsite record storage logs to facilitate record location and retrieval when requested for patient care, transition of care or release of information (ROI) requests.
      • Collaborate with HIM Leadership and Clinical Informatics team for the transition of care, reporting performance or quality metrics from the electronic medical record (EMR) or record migration projects.

        • Collaborate with IT, Informatics and third party vendors for access to legacy system for ROI requests and/or transition of care.
        • Act as a subject matter expert for the medical record and legacy systems.
        • Coordinate with subject matter experts to support reporting of quality and performance metrics/data elements as required for contracting or regulatory purposes.
        • Actively participate in EMR demonstrations, testing and training, for providers and staff.
