Summary:

Are you interested in joining the human resources career field? The Rice University Human Resources team has an excellent opportunity to gain experience working in human resources as a human resources associate.

As a human resources associate, you will be part of a high energy, "can-do" HR Services team that provides first level support to the community in HR related matters such as benefits, recruitment, and compensation. Typical duties include welcoming all visitors to the HR office, assisting new employees with on-boarding activities, responding to general HR inquiries, resolving issues and shepherding all employee personnel changes (salaries, title, promotions, etc.).

In addition, you will have one or more functional team rotations where you will get the opportunity to work with the benefits, compensation, talent acquisition, learning and development, HR business partner and/or HRIS teams. During that time, you will work on special projects and perform duties and responsibilities typical for those teams.

The ideal candidate has strong interest in gaining valuable experience in the field of human resources, has experience providing excellent customer service in a fast-paced environment, and is a proactive, team-oriented problem solver, is able to assist customers while multi-tasking to keep a busy desk organized to meet deadlines.

Minimum Requirements:

  • HS Diploma or equivalent
  • Two (2) years of related experience in a customer service position, familiar with greeting and assisting customers while multi-tasking
    • Professional paid experience gained as a student worker and during internships is acceptable
    • I n lieu of the experience requirement, additional related education, above and beyond what is required, on an equivalent year for year basis may be substituted

Essential Functions:
  • Provides excellent customer service to the campus community, including students, staff, faculty, employee dependents and new / prospective employees.
  • Responds to general HR inquiries, resolves issues and provides guidance to on HR policies, procedures and process, referring more complex situations / issue to the appropriate team member
  • Conducts new employee onboarding, including new hire paperwork, I-9s, background checks
  • Completes employment verifications
  • Reviews and approves routine to complex HCM transactions for faculty, staff and/or student employees (searches, assignment changes, pay changes, terminations, employee status changes)
  • Maintains employee records, working collaboratively with other departments (Benefits, Compensation, Payroll, Talent Acquisition, HRIS) to ensure employee records and transactions are complete and accurate
  • Pulls reports, conducts audits, identifies issues and participates in data cleanup efforts
  • Creates and updates work-related documentation and training materials
  • May recommend and assist in the implementation of solutions
  • Completes other duties as assigned

Typical duties for the functional rotation may include:
  • Benefits: assisting with annual enrollment; presenting information about benefits at New Employee Orientation; assisting with the facilitation of well-being events (e.g. - flu shots, financial planning, benefits fair, etc.); conducting audits on PTO and retirement plans
  • Compensation: assisting with salary surveys; conducting job reviews and benchmarking
  • Talent Acquisition: assisting with job fairs (preparation, set up, serving as a representative, etc.); facilitating candidate sourcing and building talent pools of both internal and external candidates; reviewing the hiring timeline resources for updates, gaps and aiding in new resource development; auditing applicant review on requisitions
  • Learning & Development: assisting with training (set up, co-facilitating, developing a new training, etc.)
  • HR Business Partner: assisting with survey administration, employee recognition, department communication (social media, tool kits and resources, etc.)
  • HRIS: assisting with campus support; assisting with campus communication on system training and updates; providing additional support with quarterly updates, testing, open labs, etc.; assisting with data review

Special projects may include...
  • Developing job aids, resources and training materials
  • Conducting audits and working with the appropriate staff to make corrections
  • Benchmarking policies, practices, etc. as needed
Skills Required:
  • Excellent customer service skills
  • Demonstrated ability to maintain confidentiality and effectively handle highly sensitive and personal information with sound judgment, tact, and discretion
  • Ability to quickly and effectively learn the HR system, establish priorities, organize work, and meet deadlines
  • Ability to multi-task in a fast-paced environment

Preferred Qualifications:
  • Experience in records management, I-9 work authorization, data analysis, benefits or related field
  • Bilingual in English/Spanish
  • Demonstrated ability to quickly learn new software or other computer applications
