Summary of Role:



Responsible for the management of exposition and sponsorship deliverable development and fulfilment services for in-person, virtual and hybrid events with a focus on driving revenue through innovation, expansion and ensuring delivery of industry leading return on investment for partners and participants in a global marketplace. Providing guidance, support and mentoring the Association?s global events related contributors, this key member of the Meetings & Conferences team, will also manage logistical operations for select hybrid conferences and events creating high quality, professional education and networking experiences in a cost effective and profitable manner.





Accountabilities & Responsibilities:



  • Lead a team of people, in accordance with the Association?s Management Charter, with managing people being the primary responsibility.

Manage Overall Exposition Services for Conferences ? 50%



  • Primary liaison for key stakeholders to develop, enhance and grow exhibit and sponsorship revenue opportunities for full spectrum of conferences and events. In collaboration with department senior management team, develop and manage innovative, profitable, online sponsorship packages across multiple delivery platforms.

  • Manage the collaboration with sales, marketing and conference managers to ensure conference sales collateral and sponsor contract agreements remain in line with the Association?s standards and requirements.

  • Manage the development and maintenance of training materials and best practices for key internal and external stakeholders to ensure proper creation and execution of exhibit and sponsorship fulfilment

  • Accountable for management of relationship with virtual exhibit platform vendor including RFP process, contract negotiations and renewals

  • Research and stay current on trends and recommend to Senior Manager the on ongoing viability of vendor relationships based on agreed upon criteria and timeline

  • Lead Manager for ENGAGE and global event exhibit and sponsorship services with a focus on enhancing customer experience and increasing profitability

  • Manage Associate Specialist, Exhibit & Sponsorship Services, Conference including providing feedback, guidance, training and professional development

Management of Logistical Operations for Revenue Generating Conferences ? 30%



  • Collaborate with key stakeholders to establish dates and locations for future conferences and manage the venue procurement process.
  • At the direction of Senior Manager, negotiate all applicable contracts to limit Association?s liability, effectively meet event needs and maximize savings with hotels, audio-visual companies, temporary agencies, etc.

  • Serve as liaison with key stakeholders for operational needs for assigned conferences and events.

  • Develop and manage relationships with hotels and vendors and develop operational plans and event orders for each conference. Oversee coordination of vendors and management of costs associated with exhibit and sponsorship sales fulfillment.

  • Lead the development of exhibit floor plans, sponsorship opportunities and management of exhibit and sponsorship logistics for assigned conferences.

  • Manage and execute all on-site meeting logistics. Supervise the activities of temporary help or volunteers when applicable.

  • Actively participate in online and in person industry events to keep current on trends and new technology.

  • Perform other duties as assigned.

Financial Management ? 20%



  • Drive the implementation of the exhibit and sponsorship components of the global event strategy, with a focus on attendee experience, revenue and profitability. Regularly review predictive models and sales reports to monitor revenue. Accountable for effective collaboration with team members, department management and partners to support or challenge efforts to drive revenue and engagement. Regularly conduct risk analyses in order to mitigate financial losses and proactively address issues that arise in a timely manner.

  • Assist in the development of annual budgets. Proactively manage all assigned conferences to meet expense revenue and profitability targets, including managing and forecasting operational costs in accordance with established policies and procedures.

  • Reconcile and process all final billing and complete a post meeting summary report to aid in the planning of future meetings.


Knowledge, Skills & Abilities Required:



  • Demonstrated people management and leadership skills

  • Problem solving and organizational skill, analytical thinking, attention to detail and ability to work on tasks independently as well as collaboratively in a team environment.

  • Ability to prioritize, follow through on tasks and handle different stages of multiple meetings simultaneously.

  • Strong communication skills, strong attention to detail

  • Proactive approach to project management

  • Strong negotiation skills

  • Ability to work flexible hours occasionally as needed

  • Ability to travel regularly

  • Strong computer skills with ability to learn and use new programs and technology

Required Experience, Qualifications & Education:



  • Bachelor?s degree in related field including communications, marketing, business management

  • 6-8 years of relevant conference, tradeshow or professional event management experience with demonstrated expertise managing complex event technology projects

Preferred Experience, Qualifications & Education:



  • CMP or similar certification a plus
