Manager of Surgery and Procedure Coordination.

This roles acts in primary collaboration with the Ambulatory Surgery Center (ASC) and specialty departments; and partners with other stakeholders within Vancouver Clinic and the community which we serve.

What you will do:

  • Manage and enhance the quality, cost, delivery, safety, and engagement for families and staff involved in coordinating surgeries and procedures.
  • Develop, manage, and sustain a high-performing work team that consistently delivers on expectations, and achieves both service and financial performance targets.
  • Creates, maintains, and controls standard work for the coordination of procedures for the Vancouver Clinic ASC and for community facilities.
  • Collaborate with other Managers and Physician Leaders to respond to operational challenges and opportunities, identify resource and system needs, and continually improve the patient experience.

Responsibilities:

  • Lead/Coach the surgery coordination team to ensure the timely, accurate scheduling, and authorizations across all locations.
  • Lead/ Coach the scheduling coordination team in the fulfillment of Patient referrals- accurately, timely, and with a sense of urgency and personal responsibility that results in a distinctively positive, patient experience.
  • Lead the selection process for surgery schedulers, financial counselors and referral specialists, to attract high-performers with excellent service skills; anticipate and fulfill staffing in a way that maintains 100% staffing levels.
  • Manage the delivery of service and care that patients find exceptional.
  • Lead the improvement of processes and effective care delivery, including scheduling, prior authorizations, referral management, financial counseling and other scheduling workflows, to ensure quality outcomes.
  • Collaborate with other Managers and Physician Leaders to respond to operational challenges and opportunities, identify resource and system needs, and continually improve the patient experience.
  • Regularly monitor, chart, track, trend and report performance and progress towards goals to Director.
  • Implement processes consistent with Clinic standards and long-term goals.
  • Participate in departmental strategic planning.
  • Lead or participate in, and manage the effective implementation of improvement efforts.
  • Compassionately manage compliance with policies and procedures, and progressive performance management guidelines; provide appropriate input for policy development.

What you will need:

  • Bachelor's Degree in Business, Healthcare Administration, or related field strongly desired.
  • A combination of education and experience equivalent to a Bachelor's degree required.
  • Five years of healthcare operations experience strongly desired .
  • Minimum of three years of supervisory experience, must include supervision of direct reports.
  • Experience managing the performance of frontline and supervisor level employees.
  • Experience applying Lean Six Sigma, and other methods to improve healthcare and service processes preferred. Certification in these improvement areas is desired.
  • Excellent communication and interpersonal skills,ability to work with all levels of the organization and to work as a member of a team.
  • Track record of maintaining quality standards and implementing quality initiatives.
  • Experience collaborating across functions in mid to large organizations.
  • Ability to evaluate budget performance to achieve financial expectations.
  • Demonstrated ability to interview, select, train, and develop qualified staff.
  • Skills with Microsoft Office Suite, particularly Excel, Power Point, Word. Visio desired.
  • Epic- OpTime and Cadence Prelude proficiency preferred.
