The Administrative Assistant is an integral member of the POD operations who functions under the direction and supervision of the Health Services Manager. The position provides professional, courteous, and friendly assistance to both internal and external customers. The Administrative Assistant serves as a resource for internal and external customers by utilizing a number of resources such as established Cigna policies; protocols and guidelines to ensure delivery of quality services within the guidelines of Cigna Medical Group Standard Operating Procedures, Policies, and Procedures. Contributes to the organization's drive to achieve "Triple Aim": improved individual customer experience, improved health and quality of care, and reduced cost of care.

Communicate with patients promptly and efficiently using words the patient understands; keep the patient informed of delays in service and/or clinician wait times. Take ownership and accountability for responding to patient questions, concerns, or complaints. Consistently seek assistance to help the patient if you are unable to resolve on your own. Provides immediate service recovery and work to exceed patient/customer expectations surrounding resolution of concerns. Anticipate patient's stated and unstated needs. Talk with them in depth so you understand what the patient truly needs. Provides explanations and support to meet those needs. Consistently keep personal conversations private and out of the work environment. Patient information is consistently maintained in a private and secure manner, complying with HIPAA Guidelines at all times. Consistently thanks the patient for allowing Cigna Medical Group to provide their healthcare and ask if there is anything else we can do for them during their visit.

Responsibilities and Essential Functions

Computer skills. Working knowledge of Microsoft Word, Excel, Visio Prepares professional reports, projects, communications, and assignments for management team. Strong time management abilities: handling multiple projects, assignments with in timeframe: excellent prioritization skills Ability to support special project assignments requiring independent research analysis and reporting. Ability to appropriately handle incoming mail. Screens to determine priority, forwards to appropriate person Answers phone: handles calls on own initiative. Refers to others as appropriate. Maintains/updates organizes current business & confidential files Tracks, prepares expenses: monitors expenses/FTEs/pt. Access. CME, staff education, etc. Assists in preparation of monthly reports. Compiles statistics. Coordinates planning, information gathering reviews reports/resolves questions. Composes non-routine correspondence. Handles requests for confidential and non-routine information. Manages a complaint or inquiry process for an area. Takes ownership, responds to routine situations, identifies urgent matters & notifies principals as necessary Coordinates meeting arrangements and details, including: lunch arrangements requiring awareness of timing, attendees, ordering, arrange room, room restoration. Independently composes and distributes bulletins, announcements of concern to the area. Orders & maintains supplies for department/centers. Arranges travel schedule, secures transportation, accommodations, prepares expense reports. Maintains center communication boards in center Maintains new hire, CME packets and information tracking for center management team. Attends various departmental, center, and center management team meetings and prepares minutes for distribution Supports management staff in maintenance of documents and tracking items required to maintain licensure - including DHS, OSHA, CLIA, AAAHC (if appropriate), etc. If requested, maintains administrators/medical directors daily/weekly/monthly calendar by independently scheduling appointments and meetings, meeting/travel.

C omplexity and Scope

Under minimal supervision, coordinates handles multiple phone calls, tracks/ input invoices and expenses for payment, tracks and maintains documents for licensure , tracks OSHA incident, orders supplies and printing, scribes for meetings, manages room schedules, interacts with customers seeking assistance, and assists with multiple other activities as assigned , Provides exceptional customer service and maintains patient confidentiality. The administrative assistant demonstrates skill in use of computers including Word, Excel, and Power Point, possesses strong verbal and written communication skills, and behavior is professional at all times.

Interacts with all levels of staff in a variety of departments, these include; physicians, staff, patients/families, and external vendors and agencies. Incumbents work in a fast paced, required confidentiality and the environment can be stressful and requires a strong focus on customer service.

Physical Demands/Environmental Factors

  • Able to stand, walk, bend, squat, reach, and stretch frequently.
  • Requires fine motor skills, adequate eye hand coordination, and ability to grasp and handle objects.
  • May be required to lift 75 pounds.
  • Must use standard precautions due to threat of exposure to blood and body fluids.
  • Needs to communicate effectively through reading, writing, and speaking in person or on telephone.
  • Use of computers will be required.
