Medical Residency Program Coordinator

Reports to the Director/Residency Manager. In collaboration with the Director/Manager, is responsible for the effective coordination of all resident affairs within the program.

Assists with the management of support staff and the day-to-day operations of the assigned facility by:
    • Scheduling resident rotations.
    • Vacation/sick/personal leave tracking.
    • Coordination with offsite experiences.
    • Manage calendar of program director and assist in scheduling for faculty and residents.
    • Liaison with other program coordinators in your institution.
    • Maintain resident calendars and coordination with Clinic Scheduler.
    • Manage an annual residency timeline or critical events calendar.
    • Manage resident and faculty payroll issues.
    • Maintain residency policies and procedures and updates to Competency-based goals and objectives for each rotation or required experience.
    • Manage and maintain resident's portfolios ensuring all RRC required documentation is present.
    • Manage recruiting season to include ERAS and NRMP registration if needed.
    • Assist in webADS system, including faculty and resident list updates, annual reports.
    • Assist in the maintenance of and update all documents necessary for RRC site visits.
    • Assist in the management ABFM web-based reporting and documentation system, including certification process for those who are eligible to take the boards each year.
    • Assist in the management of in-training exam administration and reporting of annual results.
    • When needed, take minutes during residency related meetings and manage documentation and distribution for those minutes.
    • Manage placement of Advanced Practitioners and medical students within the health care system.
    • Assist in maintenance of fellowship programs.
    • Assist in recruitment and retention of primary care providers to Beacon Medical Group.
    • Assist with residency special events and projects.
    • Assist staff with residency travel reimbursements.
    • Oversight of resident training license renewals.

  • Provides the seamless operation of the residency program in order to promote ongoing effective customer service by:
    • Collaborating with the Manager on marketing and advertisements for the department.
    • Responding immediately to resident concerns and/or complaints.
    • Performing follow-up and ensuring the timely resolution of customer service matters, while seeking assistance from the Site Manager as necessary.
    • Keeping the Manager apprised of all issues which have the potential for a disruption of service.
    • Working collaboratively with the Director/Manager to address physician issues.
    • Serving as the communication resource, especially in the absence of the Site Manager.

  • Enhances professional growth and development in assigned area of responsibility and maintains high level skills by:
    • Attending in-services and conferences as approved.
    • Learning RRC program requirements and providing updates to faculty if needed.
    • Become familiar with ACGME reporting requirements.

  • Performs other functions to maintain personal competence and contribute to the overall effectiveness of the department by:
      • Updating the Director/Manager, in timely manner, of unusual situations requiring additional assistance or support.
      • Participating in continuous quality improvement by identifying areas of opportunity and initiating the necessary actions.
      • Performing other job related duties as assigned.

    Associate complies with the following organizational requirements:

    • Attends and participates in department meetings and is accountable for all information shared.
    • Completes mandatory education, annual competencies and department specific education within established timeframes.
    • Completes annual employee health requirements within established timeframes.
    • Maintains license/certification, registration in good standing throughout fiscal year.
    • Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.
    • Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
    • Adheres to regulatory agency requirements, survey process and compliance.
    • Complies with established organization and department policies.
    • Available to work overtime in addition to working additional or other shifts and schedules when required.

    Education and Experience

    The knowledge, skills and abilities as indicated below are normally acquired through the successful completion of a high school diploma with advanced clinical or business education preferred. Requires three to five years of related healthcare/business experience with proficiency in the Microsoft suite of office products. TAGME certification preferred.

    Knowledge & Skills

    • Requires working knowledge of general medical office methods, practices and procedures.
    • Requires working knowledge of ACGME and RRC requirements.
    • Requires a working knowledge of Demonstrates expertise in utilizing practice management and electronic medical record systems and proficiency in basic computer skills (word processing, spreadsheets and e-mail applications).
    • Demonstrates strong leadership and organizational skills necessary to effectively resolve day-to-day issues. Requires ability to analyze situations and respond in a timely manner.
    • Demonstrates well-developed communication (verbal and written) and interpersonal skills to interact effectively with a diverse group of people in a professional, courteous, friendly and sincere manner.
    Working Conditions

    Works in a medical office environment.

    Physical Demands

    Requires the physical ability and stamina (i.e., to remain on feet and walk for long periods of time, ability to push wheelchairs and carts, to lift or pull patients or supplies, to provide CPR, etc. and to sit for long periods of time) to perform the essential functions of the position.
