The Meetings and Events (Database & App) Information Coordinator's primary function is to support the information flow for the Meetings & Events teams. He/She will be responsible for supporting the team manage participant registration and communications. He/She will support corporate events and activities, including corporate meetings, conferences, client dinners and sponsorships.

Responsibilities

  • Manage specialized software (currently using MeetMax, Access and Salesforce) to store and organize data. The role may include capacity planning, installation, system configuration, database design, performance monitoring, attendee monitoring, troubleshooting, as well as backup. If systems would change, it would include migration and transition planning
  • Lead team "expert" going forward with database technology
  • Support Meeting and Event App for firm events including working with the vendor; work within the tool; work with internal meeting planner and marketing employee creating content for the app.
  • Assist in managing distribution of invitations and logistics for corporate meetings and events. Distribute company registration links and presentation times, maintain Access database of company confirmations and cancellations. Seek compliance approval for company participation
  • Work with team to support firm-hosted conferences, meetings and events. Items may include coordinating shipments, ordering supplies, cross-checking data, distributing logistics letters, exporting data and other miscellaneous logistics support
  • Provide expertise on the registration and electronic communications incorporating and supporting the marketing's team creative objectives
  • Provide on-going daily responses to business lines for reports and updates on attendees, distribute weekly attendance counts 6-8 weeks prior to event date
  • Provide project management, maintain project status and communicate deadlines to the broader team
  • Assist with invoice processing and expense reporting
  • Communicate with firm's client base with questions regarding the registration process and attendance to events. Manage the client conference mailbox - email and phone line
  • Testing conference computer and printer hardware assets to ensure functionality and arrange maintenance or repair through proper channels when needed

Requirements
  • 2-3 years' experience with a professional services firm
  • Four-year bachelor's degree preferably in marketing, business, or communications
  • Excellent verbal and written communication skills
  • Excellent interpersonal skills and ability to interface effectively with a wide range of people
  • Ability to work independently and multi-task and with little supervision
  • Proficient in: Microsoft Word, PowerPoint and Excel, CRM or database tool (MeetMax, Cvent, DealCloud, etc.)
  • Meticulous attention to detail, exceptionally strong organization and communication skills, and eagerness to learn
  • Ability to manage timelines and adhere to sensitive deadlines

Desired Qualifications
  • Experience in a highly regulated industry
  • Html knowledge preferred but not required
