This position is responsible for sending closed loans to the investor, tracking and processing final title policies and recordings, and paying the mortgage department's monthly invoices.


Ship Closed Loans to the Investor (50%)

  • Assembles the closed loan package and upload to the investor prior to the lock expiration date
  • Satisfies all pre-purchase conditions to ensure the loan is purchased in a timely manner
  • Completes all post-purchase conditions in a timely manner
  • Coordinates with the loan officer, processor, and/or closer as needed to ensure timely submittal of pre-purchase and post-purchase conditions.
  • Registers the loan in MERS and transfer this registration once the loan is purchased
  • Tracks and submits trailing paystubs and escrow holdback payments
  • Sends electronic copy of loan documents to the borrowers

Track and Send Final Title Policies and Recordings (20%)

  • Tracks and stores all recordings as they are received
  • Reviews all final title policies once received
    1. Ensure all necessary liens are cleared
    2. Ensure the property address, amount of insurance, name on title, marital status, and the insured mortgage section all match the deed of trust
    3. Ensure the proper endorsements are included
    4. Ensure there are no exceptions listed in Schedule B II
  • Mails final title policy and original recorded deed of trust to the appropriate investor once both are received
  • Tracks all in-progress recordings and final title policies to ensure delivery to investor in a timely manner. Follow-up with the appropriate title company as necessary.

Disbursing Funds, Paying Bills and Updating Quicken (15%)

  • Uses the Loan Disbursement sheet and back-up documentation as guidance, disburses funds for refinance loans, including creating checks for recordings, title fees, etc., and wires the funds to pay off the mortgage lien to the appropriate financial institution
  • Tracks and pay all invoices for mortgage-related services such a credit reports, employment verifications, flood certs, etc., on a monthly basis
  • Tracks and pays invoices for all delivered appraisals on a monthly basis
  • Works with the Mortgage Lending Operations Officer to balance Quicken each month

Answer Telephone Calls for the Department/Division (10%)

  • Screens and routes calls to the proper party based on guidelines.
  • Assists and field incoming callers in order to keep their hold time at a minimum.

Meet & Greet Customers (5%)

  • Meets and greets both internal and external customers in a courteous and professional manner.
  • Assists customers with general inquiries and/or direct them to the appropriate source for information.
  • Directs customers to their scheduled appointment.

Perform other duties as required and assigned.


  • Working knowledge and understanding of general mortgage terms, guidelines and regulations, specifically TRID regulations, as well as documents required in the processing and closing of mortgage loans
  • Working knowledge of title insurance and title commitments
  • Proficient skills in applying general accounting principles to the mortgage process
  • Ability to deliver the highest level of service at all times to both internal and external customers
  • Strong written and verbal communication skills and be able to develop relationships with co-workers, attorneys and title companies
  • Strong attention to detail with effective time management/organizational/prioritization skills
  • Ability to handle multiple tasks under tight time constraints with high volume with little to no loss in accuracy of work
  • Ability to handle confidential material in a professional, highly ethical manner
  • Good/average skills using PC and spreadsheet software in a Windows environment
  • Ability to maintain predictable and reliable attendance


  • Minimum of a High School degree or equivalent required; Associates degree in Accounting or related field preferred


  • Minimum of 1-2 years of related experience in a mortgage lending institution, bank, real estate or title agency required
