Job Description

As the Facilities Specialist you are responsible for day to day operations of the Boston building.

Responsibilities:

  • Be the customer service expert to employees and visitors of the Boston office. Interacting with employees on an ongoing basis to be the focal point of queries and directions.
  • Establish and maintain a positive relationship with our landlord, while ensuring our building remains in good repair
  • Monitor all incoming facilities tickets and working with vendors and/or landlord to address in a timely manner
  • Manage vendor relationships and work with them directly and ensure that PMs are performed on a regular basis and necessary repairs and services are performed
  • Work closely with Procurement and AP to ensure payments are made and services remain current
  • Fix minor malfunctions in office equipment. Help to address and remedy any building challenges (lighting, temperature, etc.). At times respond to urgent maintenance calls after hours
  • Help the Facility Manager coordinate and implement Life Safety program and initiatives
  • Coordinate locally and remotely with people all around the globe to complete large-scale projects, initiatives, and changes to ensure all sites are uniform
  • Rotating coverage at reception - greet and check-in visitors; ensure that appropriate escorts are provided for guests and ensure all non-LogMeIn employees are properly logged in the registration system and provided a Visitor badge. Manage and maintain visitor registration system, proactively educate employees that do not regularly use the system. Answer telephone calls and transfer to proper employee. Check VM messages daily, return all queries or route to proper employee
  • Responsible for managing and monitoring building conference room occupancy via outlook, accepts or declines requests for first floor meeting spaces
  • Log and properly queue incoming support requests in the ticketing system. Manage and escalate tickets to ensure prompt responses. Follow up, track and close out all tickets in our system
  • Ensure the conference rooms, supply rooms, and caf are all stocked with necessary supplies covered.
  • Coordinate logistics for internal catering needs for trainings and Executive meetings
  • Oversees and maintains our new hire and term employee tracking
  • Creates internal postings and digital signage for month ahead
  • Assist with expense reports, creating POs, and reconciling corporate credit card
  • Assists with the coordination and planning of our local Employee Engagement activities and remote centric events
  • Assumes responsibility for assigned Community activities from planning to execution

Qualifications and Requirements:

  • Proven experience maintaining a collaborative space and inspiring others to do the same
  • A self-starter, you believe yourself to be creative, fun, good humored and approachable
  • A quick thinker with an excellent work ethic who can adapt and rapidly shift gears as needed
  • Articulate- strong verbal and written communication skills, with both internal customers and external vendors
  • Exhibited leadership, problem solving, and collaboration skills
  • Exceptionally organized with attention to detail nothing slips past you!
  • Able and willing to do some heavy lifting (rearrange furniture, move boxes)

Work Schedule:

Full time 40 hours a week. Monday- Friday 8:00am- 5:00pm. Occasionally time sensitive project will require the opportunity to come in early or staying late.

Physicality:

Must be able to lift and carry 50lbs

Occasionally work after hours, on weekends, during some holiday and when emergencies arise
