Position Summary:

Under the supervision of the Service Manager, this position is responsible for reviewing, processing and closing warranty claims, as well as assisting the Service Manager with department functions. The Warranty/Service Administrator works very closely with multiple departments including, but not limited to, the Parts and Service Department.

Position Responsibilities:

  • Process factory warranty claims (online or manually) efficiently and accurately by obtaining warranty authorization prior to work beginning
  • Upload all necessary documents for warranty authorization and follow any/all procedures as prescribed in the manufacturer's warranty policy and/or procedure manuals
  • Ensure all policies and procedures have been followed by technicians prior to processing paperwork or signing off on technician hours applied to warranty claim
  • Follow up on all warranty receivables to ensure payment is received in a timely manner
  • Communicate with Service Advisors and technicians as needed for diagnosis, authorization and/or repairs
  • Process and enter all service orders accurately and efficiently
  • Maintain accurate information in the service system by updating changes throughout the day as the changes occur, for both warranty claims and service orders
  • Answer incoming telephone calls from manufacturers (warranty claims) and/or customers (service orders), always responding in a courteous and professional manner
  • Participate in training as required by management
  • Perform any other tasks deemed necessary by supervisor

Financial Responsibility
  • No cost center responsibility; no profit & loss responsibility
Position Qualifications & Requirements:


  • High School diploma or GED - required
  • Level I - One (1) year of warranty experience in automotive, truck or RV industry preferred
Certification /License:
  • None
Skills and Abilities:
  • Proficient computer skills including Excel, Word, and Power Point
  • The ability to learn and use the manufacturer portals (Training provided)
  • Excellent organizational skills
  • Excellent communication skills, both written and verbal
  • Ability to resolving issues in a professional and tactful manner over the phone and in person
  • Ability to build and maintain lasting relationships with manufacturers' warranty reps
  • The ability to collaborate with a multi-department team
Supervisory responsibilities:
  • None
Work environment:
  • Professional office environment
  • Sedentary work with extended periods of computer use
  • Occasional work in store/warehouse/manufacturing areas
  • Must be able to wear required Personal Protective equipment (PPE)
  • Minimal (10-15%) - monthly day trips to various branches; potential for occasional overnight trips for training
