Job Title: Project Administrator

The Project Administrator is an Ideal Team Player. This position supports all KPFF St. Louis office personnel including principals, engineers, management, drafters, marketing, and accounting, performing a variety of administrative and general office functions.

The Project Administrator:

  • performs project coordination tasks to support the successful management and delivery of our projects to our clients.
  • provides day-to-day clerical duties, archival efforts, and administrative assistance.
  • works closely with engineers and may be assigned to work for specific principals and one or more engineering teams.
  • has the ability to prioritize multiple project requests while maintaining a positive attitude.
  • likes working with people.
  • takes initiative to complete tasks to ensure the success of the office.
  • understands the general operations of a professional office.

Responsibilities include, but are not limited to, the following:

  • Edit, format, and proofread letters and documents, fee proposals, technical specifications, calculation packages, and reports using Microsoft Word.
  • Track and process submittals and RFIs, manage project correspondence, maintain project files, and attend project meetings and take meeting minutes.
  • Complete assignments accurately and within deadlines.
  • Schedule meetings and coordinate hospitality including catering for in-house seminars and client meetings.
  • Lead archive reconciliation and update efforts.
  • Coordinate travel requests.
  • Update and maintain company databases with accuracy and consistency.
  • Ensure public spaces are clean, tidy, and well stocked, along with the rest of the administrative team.
  • Organize and maintain the engineering library.
  • Special projects, upon request.

  • Required Qualifications, Education & Experience:

  • High school diploma or GED.
  • 1-3 years of administrative experience in a professional services firm, preferably in engineering, architecture, construction, or design.
  • Thorough command of the English language including excellent spelling, grammar, punctuation, form, and style.
  • Computer literacy with complete proficiency in Microsoft Word, Excel, PowerPoint, and Teams.
  • Experience updating and reconciling databases.
  • Preferred Competencies:

  • Proficiency with Bluebeam software.
  • General understanding of Adobe InDesign.
  • Familiarity with architecture, engineering, and construction processes, procedures, and terminology.
  • Job Conditions:

    KPFF St. Louis personnel are expected to be physically present in the office for the work week. Work hours are expected to reasonably conform to the core business schedules of the individuals this position interacts with. This position must generally be available to work additional hours as requested, which may include weekends when necessary to accommodate the demands of a deadline.

    Physical Requirements:

    Physical requirements for this position generally include, but are not limited to, the following:

  • Frequent use of a computer, telephone, copier/scanner, plotter and other standard office equipment.
  • Heavy keyboarding.
  • Prolonged periods of sitting, standing, and walking.
  • Repetitive lifting, bending, and reaching (likely to occur each day).
  • Intensive reading of small or fine print.
  • Must be able to lift and move standard file boxes weighing up to 40 pounds.
