The Property Management Assistant is to directly support the Property Management Team. The Property Management Assistant serves as a key contributor to the continued success of the organization. The ideal candidate must have previous administration assistant experience supporting a virtual team.

Essential Duties and Responsibilities:

  • Maintain and update Center Playbooks

  • Answerphones and serve as a call filterfor the Property Managers supported,ensuring a high degree of professionalism inall interactions. Callappropriate vendors and follow-up with neighbors

  • Submit invoices for vendors

  • Track &maintain backflow test requirement database

  • Researchneighbor inquiries, rebate funds, etc.

  • Follow upon issues discovered during property tours

  • Runfinancial reports

  • ProcessOpen/close notices

  • Create Service contracts

  • Update roofsite plans

  • Collectupdated COIs from vendors when necessary

  • Prepare outgoing mail, email and faxes. Route incoming mailand courierpackages

  • Organizeand maintain a filing system foreachProperty Manager supported

  • Enhance Customer Experience with our neighbors

  • Track and upload monthly lighting and iAuditor reports

  • Process On/Off Utility Request

  • Additionalduties as assigned

Education / Experience Requirements:

  • 3+ years of administrative assistantexperience in aprofessional setting required. Experience supporting a virtual team strongly preferred

  • Excellentcomputer and technical skillsincluding ahigh level ofcompetency in the Microsoft Office suite ofproducts (Word, Excel,PowerPoint) and Adobe Acrobat

  • Exceptionalwritten and verbalcommunication skillswith the ability tointerface professionallywith associates at all levelsof an organization, both internally and externally

  • Strongorganizational skill with a proven track record ofproblem-solvingskills in aprofessional environment

  • Positiveattitude and ability to maintaina highdegree of professionalism and discretion dealing withconfidentialinformation

  • Must be aself-starter with the ability toadapt tochange, set ownpriorities and meet deadlines in a fast-paced environment

  • Demonstratedability to work independentlyand as ateam

  • Limitedtravel may be required
