Job Summary:
Assists in the administration and coordination of vehicle fleet. The vehicle fleet consists primarily of buses used for transportation of children, as well as cars, trucks, and facilities technician vans. The Fleet Coordinator will maintain accurate records of vehicles and copiers and will ensure compliance with government rules and regulations as it pertains to vehicles.

The ideal candidate has knowledge of commonly-used fleet management concepts, practices and procedures, possess a strong analytical presence, and has intermediate MS Excel and Access skills as well as have an analytical eye for process improvements. This job will require excellent communication and interpersonal skills and the ability to defuse situations involving distressed customers. Must have the ability to work independently in a high-pressure environment. The Fleet Coordinator will be faced with a variety of issues on a day-to-day basis and will be expected to respond to these issues timely and appropriately.

Key responsibilities include:

  • Day-to-day communication and coordination with internal customers, other Company Personnel, leasing companies, maintenance vendors, etc.
  • Track ordering/delivery vehicles to meet new center opening dates
  • Work closely with Fleet Management Company to ensure vehicles are relocated timely.
  • Work closely with multiple cross functional partners for new center growth, acquisitions, center closures, etc. supporting the movement of buses and copiers.
  • Generate exception reports for centers and vendors (i.e., fuel, maintenance, repairs, recalls, etc,)
  • Monitor fleet activity as it relates to key performance indicators (KPI) and compliance with all policies and procedures
  • Use templates for financial reporting to include forecasting spends, trends, comparing multiple data sources to identify anomalies and opportunities in Transportation.
  • Process invoices using strong analytical skills and perform audits of both the vendor as well as the work performed to ensure accuracy
  • Update and distribute daily, monthly and quarterly reports
  • Plan and be able to perform analytical research studies as it pertains to transportation.
  • Look for ways to improve Fleet processes and spending controls
  • Keep GPS system/processes running smoothly (installation, repairs, updates, landmarks, drivers, etc.)
  • Maintain state matrix (outlines requirements for vehicle builds according to state, local, and child care licensing rules)
  • Other related duties as assigned

  • HS Diploma or GED equivalent required
  • College degree preferred
  • Intermediate Excel, Access, and Smartsheet skills required
  • Great Customer Service Skills
  • Incredible Organization is a must
  • Basic understanding of GAAP principles
