Summary of Role:



Provide high-quality logistical event management expertise to successfully deliver a wide variety of meetings, conferences and events through in-person and virtual formats. Accountable for the planning and execution of select events on behalf of internal business units, external customers and executive stakeholders.



Accountabilities & Responsibilities:



Event Management (60%)



  • Collaborate, strategize and support in the planning and execution of meetings and events across Association business units.

  • Provide end-to-end support for a diverse scope of on-site and off-site meetings and events; including executive level, high-profile, and large group

  • Work with stakeholders and external vendors and contacts through every phase of project management including, but not limited to: contributing to partner budget process, site selection, rooming list, food and beverage, AV needs and production, meeting specifications, transportation, site visits, planning meetings, and on-site execution (if applicable).

  • Manage the full scope of hotel and event related contracts in line with Association guidelines, including venue recommendations, negotiation of terms and conditions, liability mitigations, and contract signature

  • Manage the exhibit and sponsorship sales efforts for Beta Alpha Psi annual conference with guidance and lead generation from Beta Alpha Psi staff, Committees and Advisors.

  • Provide insight and direction in the execution of best practices to improve meetings and events, and operational efficiencies

  • As needed and at the direction of Lead Manager, assist with building custom registration and web applications through approved systems (i.e.: Cvent) to support internal and external events.

  • Manage projects and problems of diverse scope, analyze issues and develop and select realistic and relevant plans, methods, techniques and recommendations for obtaining solutions. Consult and refer to Lead Manager on issues, as deemed necessary.

  • Collaborate with Virtual Events team to provide a cohesive virtual and in person experience for all attendees (when applicable)

  • Maintain and continue development of professional and technical knowledge, and keep up-to-date on industry trends and best practices by attending and participating in professional development and continuing educations opportunities, educational workshops, reviewing professional publications, establishing personal networks, benchmarking state-of-the-art practices, and participating in professional societies

Relationship Management (20%)



  • Primary liaison for the management of member service conferences

  • Primary liaison for Beta Alpha Psi (to include executive office, board members, faculty advisors, professional partners, and students)

  • At management discretion, mentor and provide assistance to staff with more complex tasks that require a higher level of understanding of functions.

  • Network and cultivate productive relationships with stakeholders, various levels of operational staff, and external clients and vendors

Financial Management (20%)



  • Proactively manage all assigned conferences to meet expense revenue and profitability targets, including managing and forecasting operational costs in accordance with established policies and procedures.

  • Manage the audit and reconciliation of meeting/event related invoices

  • Other duties and projects as assigned.

Knowledge, Skills & Abilities Required:



  • Ability to interact with senior management, internal and external customers

  • Strong ethical leadership skills, business mindedness and negotiation skills

  • Effective interpersonal, organizational and team-building skills

  • Demonstrate strong business acumen

  • Competent at managing multiple projects concurrently

  • Strong written, verbal and presentation communication skills

  • Strong computer skills with ability to learn and use new programs/technology

  • Ability to travel and work flexible hours as needed

Required Experience, Qualifications & Education:



  • A minimum of 4 years professional meeting or event planning experience including creating, planning, and executing high level strategic meetings, educational conferences, and networking events

  • Bachelors degree or equivalent experience

Preferred Experience, Qualifications & Education:



  • Certified Meeting Professional or similar certification

  • Membership in MPI, PCMA or similar membership

  • Global event planning and management experience
