As a Solutions Hub Specialist working on our Takeda Business Solutions team, you will be empowered. A typical day will include:

POSITION OBJECTIVES:

  • The Solutions Hub Specialist supports daily operational activities of the centralized team. Ensures prompt, accurate, and consistent handling of inquiries in accordance with department goals and standards, including accurate prioritizing, categorizing, and documenting requests in cooperation with Global process ownership teams, while ensuring a customer-oriented environment, promoting strong internal collaboration.
  • Ensures that Solutions hub related metrics are tracked, and SLA is met.
  • Identify opportunities for refinement of and executing continuous improvement opportunities as they relate to process and systems.
  • Escalates issues to the relevant support group to speed and aid execution of the transactional procurement process.
  • The Solutions Hub Specialist should be prepared to explore new ideas and innovative solutions that are aligned to complex business priorities.

POSITION ACCOUNTABILITIES:
  • Receiving and processing Procurement, Accounts Payable and Travel & Expenses support requests through the ticketing system, phone, email, and Live chat according to the team standards.
  • Supporting users with ServiceNow system and processes (e.g., Purchase order creation activity, AP and T&E operations, incident error troubleshooting)
  • Working closely with second line support (IT, Accounts Payable, Master Data, Contract team, Accounting and Reporting) to provide stakeholders with end-to-end solution
  • Providing pro-active feedback, identifies bottlenecks and suggests how to improve the process and drive continues improvement projects
  • Utilize case management to ensure timely responses, achievement of internal service level agreements, and measure productivity.
  • Ability to work in a fast-paced environment with constant deadlines and time constraints; open to an environment where things change constantly.
  • Demonstrated strong interpersonal, verbal (phone) and written communication, as well as active listening skills to manage high-volume, inbound inquiries from employees and customers; position continually requires demonstrated poise, tact and diplomacy
  • Prepares relevant documentation when required (ex SOPs, Work instructions)
  • Demonstrated problem-solving skills and computer skills.
  • Other duties as assigned.
  • Supporting projects when required.

EDUCATION, BEHAVIORAL COMPETENCIES AND SKILLS:
  • Background in Procurement, Accounts Payable, Customer Service, Travel & Expenses would be an asset
  • Project management (Agile, Six Sigma, Lean)
  • Bachelor's degree preferred or equivalent work experience.
  • Experience in service-oriented or regulated industries would be a plus.
  • Improvement-oriented mindset (expert on such techniques as Lean/Kaizen)
  • Experience with in external innovations and automation (ERP, WF, Robotics, AI)
  • Interpersonal skills and confident approach building partnerships amongst colleagues.
  • Advanced communication skills, verbal and writing.
  • High organizational, analytical and technical skills.
  • High problem solving and customer service skills.
  • Ability to work in an international team-based environment remotely, intercultural skills
  • Ability to work on non-standard hours
